Role overview
The Head of Administration for the Sports Medicine Center is responsible for directing the full range of non-clinical, administrative, facility-support, procurement, scheduling, vendor, and operational support activities. The purpose of the role is to keep the center running smoothly, ensure resources are managed effectively, maintain facility readiness, and provide the administrative backbone needed for excellent patient and customer service.

Administrative operations leadership
- Oversee all administrative functions, including front office support, scheduling coordination, document control, service coordination, and day-to-day administrative execution.
- Design and refine administrative workflows, service standards, operating procedures, and support models.
- Make sure administrative services effectively support sports, rehabilitation, performance, medical, and customer-facing teams.
- Track workload levels, response times, and overall service quality across administrative activities.
- Address administrative bottlenecks and issues that could affect service delivery or customer experience.
Financial planning, budgeting, and cost control
- Assist the Sports Medicine Center Director with budgeting, financial monitoring, and cost management.
- Review administrative spending, procurement costs, vendor charges, facility-related expenses, and support-service budgets.
- Spot opportunities to reduce costs while preserving service quality and safety.
- Contribute to financial reporting, budget variance reviews, and operational planning.
- Partner with Finance to ensure correct records, approvals, and cost allocation.
Facility, asset, and vendor management
- Manage facility preparedness, maintenance coordination, space usage, and operational infrastructure.
- Handle vendor and service-provider relationships, including contracts, SLAs, performance reviews, and issue resolution.
- Ensure required equipment, supplies, assets, and support services are available and properly maintained.
- Work closely with facilities management, clinical engineering, IT, procurement, and logistics teams.
- Confirm that all facility and administrative support activities meet safety, quality, and operational standards.
Procurement, inventory, and resource coordination
- Oversee procurement requests, inventory planning, stock monitoring, and supply availability.
- Ensure operational materials, office supplies, equipment, and other support items are sourced on time.
- Control inventory levels to avoid shortages, excess stock, and waste.
- Collaborate with service-line leaders to anticipate operational requirements.
- Ensure procurement activities follow policy, approval, and budget requirements.
Process excellence and digital enablement
- Look for ways to simplify administrative workflows and reduce manual work.
- Introduce systems, tools, and process upgrades that improve efficiency.
- Support digital initiatives connected to scheduling, records, reporting, and operations.
- Create dashboards and reports that help monitor performance.
- Standardize templates, records, forms, and internal communication methods.
Governance, compliance, and risk management
- Ensure administrative processes align with organizational policies, regulatory obligations, and audit expectations.
- Keep documentation ready for both internal and external audits.
- Identify administrative and operational risks and implement mitigation steps.
- Support incident reporting, emergency coordination, and business continuity planning.
- Maintain confidentiality, data protection, and proper records management practices.
Cross-functional coordination and service support
- Serve as the main coordination link between service lines, support teams, vendors, and leadership.
- Help ensure successful delivery of events, programs, clinics, screenings, and other operational activities.
- Coordinate staffing rosters, room bookings, equipment availability, and logistical needs.
- Support customer-facing teams when administrative issues escalate.
- Strengthen the administrative base so service-line leaders can stay focused on care delivery.
Performance expectations
- Keep administrative and facility-support operations running without interruption.
- Maintain disciplined cost control across administrative functions.
