Role Overview
The Senior Recruiting Operations Specialist will manage the operational engine behind the hiring process. The role focuses on keeping the ATS accurate and well-governed, maintaining reporting quality, coordinating vendors and interview logistics, and helping recruiters and hiring managers work efficiently. The position supports smoother hiring by owning systems, data, documentation, and process discipline.
Key Responsibilities
- Handle daily ATS administration, including user access, workflow setup, and checks to keep records accurate.
- Monitor and share recruitment performance data such as pipeline strength, aging candidates, offer conversion, and time-to-fill for weekly, monthly, and QBR reviews.
- Coordinate with external vendors and manage renewals for tools such as job boards, assessment platforms, and sourcing partners.
- Support budget approvals and position approval processes while following required governance steps.
- Keep recruiter-facing materials current, including SOPs, handbooks, interview guides, and onboarding documents.
- Work with HRIS and People Analytics teams on system integrations to maintain reliable data movement between platforms.
- Organize interview scheduling and panel logistics while protecting candidate experience standards.
- Identify operational blockers and suggest automation or process improvements.
- Assist employer branding work through content coordination and campaign tracking.
- Contribute to strategic talent acquisition projects, including structured interviewing, rubric-based assessment, panel calibration, and the Raising the Talent Bar framework.
- Help arrange interviewer training, panel nominations, and calibration sessions to strengthen hiring capability.
Preferred Experience
- Prior exposure to hiring support in global or multi-business-unit environments is an advantage.
- Experience with interviewer capability-building or hiring framework rollouts is helpful.
- Familiarity with structured interviewing methods and calibration programs is a plus.
