This opportunity is shared on behalf of a partner organization that handles applications and the later hiring stages. The employer is seeking a Senior Project Coordinator located in the United States.
In this role, you will help keep complex, high-priority initiatives organized and moving forward by coordinating across teams, stakeholders, and project streams. The position suits someone who is highly organized, comfortable in a fast-moving environment, and motivated by bringing structure, maintaining progress, and ensuring accountability. You will act as a central coordination hub, supporting leadership with clear visibility into project status while helping teams stay aligned and deliver on time. Your work will involve close interaction with internal staff, outside partners, vendors, and clients in a collaborative remote setting focused on meaningful outcomes.
What you will do
- Organize and manage calendars for project meetings, client-facing sessions, working meetings, recurring check-ins, and stakeholder events across several teams and workstreams.
- Draft meeting agendas, share background materials, and prepare supporting documents, then track notes and follow-up actions to make sure commitments are completed.
- Handle several active projects at once, each with different timelines, priorities, and stakeholders, while keeping everything structured and visible.
- Act as a main point of coordination among internal teams, external collaborators, vendors, contractors, and clients so communication stays timely and consistent.
- Keep project trackers, timelines, systems, and documentation accurate and up to date.
- Watch milestones, deliverables, and deadlines closely, and raise risks, blockers, or possible delays before they become issues.
- Prepare status updates and project reports that give leadership a clear picture of progress, priorities, and next steps.
- Assist with onboarding vendors and contractors, making sure expectations, timelines, and deliverables are understood and aligned.
- Support communication across operational, technical, academic, and external partner groups.
- Look for ways to strengthen coordination workflows, documentation practices, reporting quality, and overall efficiency.
What you need
- At least 5 years of experience in project coordination, project management support, operations, consulting, education, nonprofit work, or another similarly fast-paced setting.
- Proven ability to juggle multiple projects, shifting priorities, and deadlines with strong attention to detail and consistent follow-through.
- Hands-on experience maintaining large project trackers, databases, or reporting tools with many stakeholders and deliverables.
- Comfort using project management and collaboration platforms such as Monday.com, Asana, Smartsheet, Notion, or comparable tools.
- Solid working knowledge of Google Workspace, Microsoft 365, and calendar management systems.
- Excellent written and spoken communication skills, including confidence in working with senior leaders, clients, vendors, and outside partners.
- Strong planning, problem-solving, and critical-thinking abilities.
- Ability to spot challenges early, propose practical solutions, and keep work progressing with limited supervision.
- Experience pulling together information from multiple sources and turning it into clear updates, risk notes, and recommendations.
- Ability to work independently while managing complex stakeholder relationships in a remote environment.
- High professionalism, sound judgment, and discretion when dealing with sensitive or confidential information.
