Role overview

The Office Administrator will support core administrative and financial operations with a strong focus on accuracy and detail. This role combines day-to-day office administration with ownership of Accounts Payable and Accounts Receivable processes, including data entry, invoice handling, and payment reconciliation with travel agency partners. The position also involves virtual office support, coordination across teams, and ongoing improvement of internal systems and workflows.

This is a fully remote freelance contractor role for candidates located outside the United States, with a preference for applicants based in Latin America. The work is conducted in English, and the schedule should generally overlap with California business hours, ideally through about 3:00 PM Pacific Time.

Responsibilities

  • Handle daily operational and administrative workflows while managing AP/AR tasks accurately and on time.
  • Serve as a key contact for receivables processing and broader office administration with a high degree of precision.
  • Review, improve, and streamline internal processes using technology to strengthen efficiency and financial control.
  • Maintain software subscriptions and support the smooth operation of administrative tools and systems.
  • Provide executive-level virtual support, including complex scheduling, calendar coordination, and follow-up on action items.
  • Use spreadsheets and reporting tools such as Excel or Google Sheets to monitor business metrics and organizational objectives.
  • Collaborate with the remote team on vendor coordination, accounting support, and general office administration.

Requirements

  • At least 6 years of experience in business operations, accounting work, or a closely related hybrid role, ideally in a remote setting.
  • Working knowledge of QuickBooks and AP/AR processes is strongly preferred.
  • Advanced comfort with spreadsheet tools such as Excel and Google Sheets, plus the ability to adopt or refine workplace technology.
  • Associate’s or bachelor’s degree in business administration, accounting, or a related discipline preferred.
  • Excellent attention to detail, strong organization, and proactive problem-solving ability.
  • Ability to manage confidential financial and company information with discretion.
  • Native or bilingual English skills for communication in an international virtual environment.
  • Capacity to work independently in a remote, full-time schedule of 40 hours per week.
