Role Overview
The Senior HR Specialist / HR Business Partner plays a vital role in assisting the HR Department with daily operational and coordination duties across the company. This position primarily handles administrative, organizational, and non-confidential HR tasks, offering exposure to HR operations in an international business setting and contributing to enhancing operational efficiency and the overall employee experience.
Core Responsibilities
- Maintain and update various HR tracking systems relating to leave, onboarding, training programs, and employee allowances limited to non-sensitive information.
- Organize employee documentation systematically, including filing, record tracking, and formatting of templates.
- Prepare standard HR correspondence and documents exempting any confidential information.
- Assist with onboarding activities such as preparing welcome materials, coordinating first-day logistics, scheduling introductory sessions, and collaborating with internal teams like IT and administration for smooth onboarding.
- Support employee engagement initiatives by organizing internal events, including training sessions, team-building activities, and diversity and inclusion programs.
- Create communication materials such as emails, surveys, and invitations; monitor participation and generate basic reports or summaries.
- Contribute to updating HR process documents and templates, support various projects including automation and data organization, and help test and enhance HR tools like forms, trackers, and workflow systems.
- Prepare basic data reports and dashboards using Excel, consolidate non-confidential data from different sources, and assist in administrative follow-ups with employees.
- Conduct research and facilitate onboarding of external third-party service providers including PRO providers, background check vendors, marketing agencies for corporate events and employee engagement, and vendors offering employee discounts on gyms, wellness, and hospitality services.
- Support recruitment activities by posting job openings on LinkedIn as requested by the Senior HR Manager, shortlisting candidates for managerial review, and coordinating interview schedules and meeting room bookings.
- Assist in developing and refining HR policies and procedures.
- Note: The role excludes handling employee relations or disciplinary matters, salary or payroll details, legal documentation, sensitive HR issues, and visa/legal case management.
Candidate Profile and Requirements
- Bachelor’s degree completed or currently pursuing studies in Human Resources, Business Administration, or a suitable related discipline.
- Excellent organizational and communication capabilities.
- Strong attention to detail and accuracy.
- Advanced proficiency in Microsoft Excel and PowerPoint; familiarity with Power BI is an advantage.
- Ability to manage confidential information with professionalism and discretion.
- Proactive and innovative approach to tasks and problem-solving.

- The initial contract duration is 6 months, with the possibility of extension based on performance and skills.
