Position Overview

This role is for a Senior Executive Assistant specializing in Innovation and Delivery, located in the United States and operating remotely. The position acts as a strategic partner to senior leadership, improving operational frameworks and facilitating decision-making processes within a dynamic, mission-driven organization focused on impactful priorities.

Core Responsibilities

  • Provide comprehensive executive support including management of intricate calendars aligned with strategic goals.
  • Optimize and maintain leadership operational rhythms such as meetings, one-on-one sessions, planning activities, business reviews, and events.
  • Arrange both internal and external meetings, preparing detailed agendas, briefing materials, decision documents, and tracking follow-ups.
  • Handle complex travel planning domestically and internationally including itineraries, expenses, and logistics, resolving any challenges proactively.
  • Serve as a trusted advisor, enhancing executive focus by understanding and aligning with business priorities.
  • Develop polished presentations, reports, and briefings utilizing effective storytelling and AI-powered productivity tools.
  • Identify and implement automation and process improvements in communication, meeting preparation, reporting, and information management workflows.
  • Coordinate logistical support for leadership events, onsite meetings, and team gatherings to ensure smooth execution.
  • Monitor strategic projects, track milestones, decisions, and action items to sustain progress across interdisciplinary initiatives.
  • Collaborate with organizational leaders to boost communication, collaboration, and operational effectiveness.
  • Create scalable administrative and collaborative processes to enhance accountability and productivity across teams.
  • Provide backup executive assistance when necessary while upholding strict confidentiality and discretion.

Candidate Requirements

  • Minimum of five years experience supporting senior executives within fast-paced, growing, or complex environments.
  • Exceptional organizational abilities with a proven track record of managing multiple competing priorities and maintaining thorough attention to detail.
  • Proactive and independent problem solver with a strong capacity for anticipating executive and organizational needs.
  • Excellent verbal and written communication skills, capable of engaging confidently with executives and stakeholders at all levels.
  • Experience managing executive workflows, leadership meetings, strategic initiatives, and team operations.
  • Strong project coordination skills with ability to manage priorities, deadlines, decisions, and action points efficiently.
  • Competence in creating executive-ready materials including presentations and briefing documents from limited inputs.
  • Advanced knowledge of Google Workspace, collaboration platforms, and modern productivity tools.
  • Familiarity with AI technologies to support research, content drafting, summarization, process enhancement, and workflow automation.
  • Ability to exercise sound judgment, maintain discretion, and preserve confidentiality with sensitive matters.
  • Adaptability and resourcefulness to thrive in a remote-first work setting with dynamic and evolving demands.
