Role Overview

This position supports a senior Managing Director in a broad secretarial and administrative capacity, with additional coordination support for the wider team. The role requires strong organization, discretion, and the ability to manage several priorities in a fast-moving environment.

Responsibilities

  • Manage the senior MD’s calendar end to end, including appointments and scheduling.
  • Set up internal and external meetings, conference calls, and video conferences, and help prepare and print meeting materials.
  • Coordinate overseas travel arrangements such as flights, hotels, and ground transportation.
  • Process corporate card claims and reimbursable business expenses accurately and on time while following travel and company policy.
  • Handle routine office purchasing, including stationery and general supplies.
  • Maintain records through archiving, filing, scanning, and printing documents.
  • Prepare refreshments and meeting setups for important sessions.
  • Support day-to-day office tasks and ad hoc requests, including arranging team-building and bonding activities.
  • Coordinate appraisals and team alignment meetings, ensuring deadlines are met.

Requirements

  • 10 to 12 years of experience providing complete secretarial support to senior executives and teams.
  • Strong command of Microsoft Word, Outlook, Excel, and PowerPoint.
  • Minimum qualification of A Levels, Polytechnic diploma, or a secretarial qualification.
  • Quick to learn, able to connect information across tasks, and skilled at balancing priorities across different stakeholders.
  • Strong team orientation with a self-starter mindset and the ability to work independently.
  • Excellent communication skills across all levels.
  • Comfortable managing several tasks and deadlines at once, including working overtime when needed to complete urgent work.
