Overview

We are seeking a highly organized and dependable Senior Administration Officer to support a forward-thinking Global Chief Financial Officer and Company Secretary in a dynamic, privately owned, high-growth company with operations in Australia, Canada, the US, and the UK. This role is suited to candidates from diverse backgrounds such as retail, hospitality, operations, logistics, administration, or project coordination, who possess strong organizational capabilities, sound judgment, and a proactive approach, demonstrated by consistent career growth and reliability.

Key Responsibilities

  • Deliver comprehensive administrative and coordination assistance to the Global CFO and Company Secretary.
  • Oversee a complex international calendar spanning multiple time zones by anticipating conflicts and prioritizing tasks effectively.
  • Organize domestic and international travel arrangements including flights, accommodations, visas, itineraries, and important meetings.
  • Manage the CFO’s inbox and correspondence, including drafting communications when necessary.
  • Serve as a primary liaison for internal and external stakeholders, ensuring communications are professional and timely.
  • Maintain accurate, well-organized, and confidential records and documentation.
  • Identify and implement improvements in processes by leveraging technology and AI tools to boost efficiency.

Candidate Profile

The ideal candidate is currently engaged or experienced in administration, team support, office coordination, customer service, or operations roles within fast-paced environments where attention to detail, communication, and problem-solving are essential.

  • Proven reliability and strong performance in administrative, operational, or customer service roles.
  • Stable employment history reflecting dedication, professional advancement, and ability to handle increasing responsibilities.
  • Excellent organizational skills to efficiently manage competing priorities.
  • High emotional intelligence and confidence in interacting with diverse stakeholders.
  • Strong verbal and written communication abilities.
  • Proficient in Microsoft Office suite (Outlook, Word, PowerPoint, Excel, Teams).
  • Proactive attitude with a willingness to take ownership and follow tasks to completion.
  • Interest in technological innovation, particularly AI-driven working methods.
  • Professionalism, discretion, and integrity of the highest standard.

Formal qualifications in Business Administration or related discipline are advantageous but not mandatory.
