Role Overview

The Executive Assistant / Secretary position involves delivering comprehensive administrative assistance to senior management, facilitating seamless communication between executives, clients, and employees.

Primary Duties

  • Manage executive calendars to coordinate schedules, avoid conflicts, and arrange meetings efficiently.
  • Prepare for meetings by setting agendas, collecting relevant materials, transcribing notes, and documenting minutes.
  • Serve as a gatekeeper by screening calls, handling emails, and acting as the primary contact point for inquiries.
  • Oversee information management through organizing both physical and digital filing systems, drafting reports, and preparing presentation materials.
  • Administer financial tasks such as processing expense reports, monitoring department budgets, and managing procurement requests.
