Role overview

This position supports Relationship Managers in delivering reliable day-to-day service to private wealth clients. The focus is on portfolio administration, client communication, maintaining account records, and assisting with trade execution, while making sure work is completed accurately, promptly, and in line with internal controls and regulatory requirements. The role works closely with Relationship Managers, operations, and compliance teams to create a smooth client experience and to help drive service enhancements and process improvements.

What you will do

  • Assist Relationship Managers in handling client portfolios according to each client’s investment preferences and the firm’s policies and rules, while helping build trusted relationships.
  • Serve as a primary contact for client queries, respond quickly, and keep clear records of actions taken and responses provided.
  • Carry out client administration tasks with accuracy and speed, including cash movement requests, overdraft monitoring, and follow-up on pending items.
  • Open new client accounts, coordinate onboarding paperwork, and organise client meetings, including preparing meeting documents where needed.
  • Prepare and process cash transfer requests, coordinating with Relationship Managers and following internal controls and regulatory obligations so that client instructions are completed correctly.
  • Check client transaction statements, track unsettled or outstanding deals, and escalate discrepancies or errors for resolution.
  • Support ongoing account maintenance such as updates to static data, mandates, and account documents, following required procedures and regulations.
  • Help keep client accounts compliant by supporting periodic reviews, document refreshes, and adherence to suitability and conduct standards.
  • Work with operations and other internal teams to ensure efficient processing and a consistent service experience end to end.
  • Assist with portfolio suitability and performance review work, and contribute to investment proposals and presentation materials for client meetings.
  • Execute trades in client portfolios based on client instructions, approved recommendations, and relevant dealing controls where applicable.
  • Balance daily business-as-usual responsibilities with longer-term work and shifting deadlines, while prioritising well and managing incoming client and internal requests.
  • Keep knowledge of products, markets, and regulation up to date through continuous professional development.
  • Take part in client service initiatives and internal process forums when needed, while building strong internal relationships and understanding service risks and themes.
  • Work in line with the organisation’s values of excellence, innovation, teamwork, passion, and integrity.

What we are looking for

  • Background in client servicing, client administration, or operations within private wealth, asset management, private banking, or a similar financial services setting.
  • Practical knowledge of investment products and portfolio administration, including areas such as equities, funds, and bonds, along with awareness of operational risk and control processes.
  • Understanding of regulatory and compliance requirements tied to client accounts, such as KYC/AML, suitability, conduct, and documentation standards, with a strong eye for detail.
  • Strong communication and stakeholder management skills, with the ability to work effectively with clients, Relationship Managers, and operations teams under pressure.
  • Well-developed organisational ability and confidence using common office systems and client/portfolio platforms, along with a mindset focused on continuous improvement.
