Job description
Role overview
This position is centered on welcoming guests, managing front-desk communication, and handling clerical work within the reception and administrative area. It is strictly an administrative role with no clinical responsibilities of any kind.
Core duties
- Deliver day-to-day administrative and clerical assistance.
- Receive patients, clients, and visitors warmly and professionally.
- Manage incoming phone calls, record messages, or route calls to the right person.
- Sign in visitors and guide or escort them to the correct destination.
- Notify staff when visitors arrive or when scheduled visits are canceled.
- Keep the visitor log current and organized.
- Process incoming and outgoing mail.
- Arrange appointments and manage meeting room reservations.
- Keep the front desk and reception space clean and orderly.
- Carry out other tasks as assigned.
Confidentiality and compliance
- Protect resident health information and never disclose protected information improperly.
- Report any suspected or confirmed unauthorized disclosure to the Administrator without delay.
Supervision
This role does not include supervisory duties.
Education and experience
A high school diploma or GED is required at minimum. Prior experience in administration or reception is preferred.
Communication and thinking skills
The role calls for the ability to read and interpret business materials, professional writing, technical procedures, and relevant regulations. Strong written communication is needed for reports, correspondence, and procedure documents, along with the ability to present information clearly and respond to questions from managers and staff.
You should also be comfortable applying basic math concepts such as fractions, percentages, ratios, and proportions, and using practical judgment to resolve everyday problems in situations with limited standard procedures. The job also requires the ability to follow instructions delivered in written, verbal, visual, or schedule-based form.
Technical knowledge
Success in this role requires working knowledge of Microsoft Suite applications, standard clerical processes, and a multiline phone system.
Physical requirements
The position may require occasional lifting or moving of up to 25 pounds. It also involves extended computer use and regular sitting, standing, walking, speaking, reading, and hearing. Frequent use of office equipment such as a copier, scanner, fax machine, telephone, and calculator is expected. No travel is needed.
Work environment
The workplace is generally quiet to moderately noisy.
