Job description
Job Purpose
This role is responsible for handling all government liaison work and making sure the organization remains fully compliant with UAE immigration, labour, aviation, and licensing rules. The position serves as the main contact point with government bodies, overseeing the smooth processing of employment visas, work permits, Emirates IDs, airport passes, company licences, and other mandatory formalities needed to keep airline operations running without disruption.
Key Responsibilities
- Act on behalf of the company with a wide range of authorities, such as Immigration, MOHRE, ICP, GDRFA, Police, Courts, Embassies, Ministries, Municipalities, Airport Authorities, Free Zone Authorities, and any other official body required.
- Build and maintain strong working relationships with government departments to help complete official transactions on time and within regulatory requirements.
- Stay updated on changes in UAE immigration, labour, licensing, and government rules, and share relevant updates with internal stakeholders to support compliance.
- Handle employment visas, residence permits, visit visas, mission visas, work permits, renewals, status amendments, cancellations, and other related immigration transactions in line with company policy and UAE law.
- Prepare, review, and submit all supporting documents for immigration and government processes, ensuring they are complete, accurate, and compliant with set procedures.
- Check government online systems every day to track visa and transaction progress, and take prompt action when delays or missing requirements arise.
- Complete physical document submissions and collections at government offices whenever needed to speed up processing and close transactions successfully.
- Arrange visa stamping, Emirates ID registration, medical fitness appointments, visa cancellations, and other immigration steps within the required service timelines.
- Coordinate the issue, renewal, change, and cancellation of airport security passes, airside permits, and other access approvals with Airport Authorities and Security teams.
- Support employees with visa, immigration, Emirates ID, family sponsorship, and other official procedures, including accompanying them to government offices when necessary.
- Keep detailed and current records of employee visas, Emirates IDs, passports, sponsorship information, airport passes, and other statutory documents, while tracking renewals to avoid expiry.
- Work with the HR Employee Services team to ensure all documents needed for visa processing and renewals are gathered and submitted within the required deadlines.
- Ensure employees who leave the organisation are properly cleared from Immigration, Labour, Airport Authority, and other related systems after resignation, termination, or transfer.
- Track company-sponsored visit visas and follow up proactively to prevent overstays by arranging extensions, status changes, or cancellations as required.
- Prepare routine reports on visa processing, pending items, renewals, and compliance status for management review.
- Partner with Legal, Government Affairs, and relevant authorities to resolve employee-related matters involving labour disputes, court cases, absconding reports, deportation cases, police matters, and other legal or regulatory issues while protecting the company’s interests.
- Handle the renewal and upkeep of trade licences, establishment cards, immigration files, labour establishment records, airport permits, and other statutory registrations to support uninterrupted business operations.
- Arrange attestation, notarization, legalization, and certification of company and employee documents through the appropriate authorities and embassies as needed.
- Ensure all fees, fines, and statutory payments linked to immigration, labour, licensing, and regulatory compliance are processed correctly and within deadlines.
Qualifications
- A high school qualification or diploma in any field is acceptable, provided the candidate has the required administrative experience.
- The job requires a dynamic, physically fit person who can move around frequently.
- Arabic is mandatory, while basic English is acceptable.
- A valid UAE driving licence and car are essential.
- Strong working knowledge of UAE immigration and labour regulations, including visa sponsorship, residence, and deportation procedures, is required.
- Ability to understand, sort, and classify documents based on task requirements.
- Capable of understanding instructions and planning work according to priority and sequence.
- Reasonable computer proficiency is needed, and Arabic typing is mandatory.
- Strong interpersonal ability and the confidence to work effectively with external parties in a timely and cost-efficient manner.
- A cooperative team player with strong organisation and time management skills.
- Dependable, accountable, energetic, and willing to take ownership of tasks.
- Must be ready to work on call at short notice and support urgent or emergency situations as needed.
- Ability to spot risks and suggest practical alternatives.
- Cost-conscious with solid persuasion, problem-solving, and judgement skills.
Experience
The role calls for more than 4 years of relevant public relations experience in a similar position within a mid-sized UAE company, ideally in the service sector.
