About the opportunity
The Queensland Virtual Academy (QVA) is looking for an organised and relationship-driven Registration Manager to oversee student registration activities across multiple QVA programs. This position supports statewide initiatives that expand access to learning for Queensland students and schools, while also contributing to collaboration, digital innovation, and improved educational outcomes.
In this role, you will help ensure enrolment and registration information is handled accurately, on time, and efficiently so that schools and other stakeholders can access virtual learning opportunities across Queensland.

Key duties
- Oversee the full registration workflow for QVA programs across the state, making sure applications are handled accurately, efficiently, and within required deadlines.
- Administer online consent processes and ensure supporting documents are completed, tracked, and stored securely.
- Develop and sustain effective working relationships with schools, principals, regional teams, and internal staff by providing prompt and helpful support throughout the registration journey.
- Serve as the main contact for registration-related queries, offering clear guidance and resolving issues to support a positive service experience.
- Gather, verify, reconcile, and maintain registration, enrolment, consent, and participation data from several systems and sources, protecting accuracy and data quality.
- Track registration progress and follow up with schools to make sure all required details and documentation are received.
- Produce routine reports, summaries, and dashboards to assist with planning, program delivery, and decision-making.
- Keep records current across registration databases and information management systems while complying with departmental policy and privacy obligations.
- Spot, investigate, and correct data inconsistencies, applying quality checks to support reliable information.
- Prepare and update registration procedures, user guides, and communication resources for schools and stakeholders.
- Look for ways to improve registration processes, system efficiency, and customer service through continuous improvement.
- Provide administrative and operational support that contributes to the successful delivery of QVA programs.
About you
Success in this role will depend on strong attention to detail, analytical thinking, problem-solving ability, and the capacity to juggle competing priorities while delivering high-quality administrative support with a strong service focus.
Selection criteria
- Background in registration, enrolment, administration, or data management work within a complex environment.
- Well-developed communication and interpersonal skills, with the ability to build productive relationships and provide professional support to schools and stakeholders.
- Demonstrated ability to manage accurate information across multiple systems and data sources while maintaining data integrity.
- Strong organisational capability, including prioritising tasks, meeting deadlines, and managing heavy workloads.
- Advanced Microsoft Excel capability, including analysis, formulas, filtering, reconciliation, reporting, and working with large datasets.
- Strong analytical and troubleshooting skills, with the ability to identify issues and apply practical solutions.
- Ability to handle sensitive information with discretion, confidentiality, and good judgement.
- Proactive mindset focused on improving processes, increasing efficiency, and delivering better outcomes.
- Ability to work independently while also contributing effectively to a collaborative team.
