Role overview

Gaia Talent is hiring a Project Coordination Specialist to help deliver major infrastructure and renewable energy projects. This position works alongside Project Managers and the PMO to provide coordination, project management support, reporting, and administrative assistance so work stays on track, on budget, and aligned with governance standards.

Key responsibilities

  • Help drive the delivery of large infrastructure and energy programmes.
  • Contribute to project management plans covering scope, timelines, cost, quality, risk, procurement, and stakeholder engagement.
  • Follow governance procedures and assist with reporting for senior leaders and important stakeholders.
  • Foster strong collaboration across project teams and help share knowledge effectively.
  • Organise project communications, meetings, reports, and presentation materials.
  • Maintain project records and document control processes, including version control and distribution of documents.
  • Monitor actions, risks, issues, and deliverables, and ensure follow-up happens promptly.
  • Prepare and update project control documents such as programmes, risk registers, action trackers, and financial logs.
  • Support stakeholder and community engagement activities when needed.
  • Assist with procurement tasks and contract administration.
  • Track spend and prepare financial updates, budget reviews, and forecasting reports.
  • Help ensure compliance with health, safety, and internal policy requirements.

Requirements

  • A third-level qualification in Engineering, Business, Project Management, or a closely related field.
  • A postgraduate qualification in Project Management is preferred.
  • At least 1 year of experience in project coordination or project support, ideally in infrastructure, engineering, construction, or energy.
  • Solid understanding of project management methods and workflows.
  • Strong written and verbal communication, reporting, and stakeholder engagement skills.
  • Well-developed organisational and administrative ability.
  • Comfort using Microsoft Office and Microsoft Project.
  • Experience with document management or collaboration tools such as SharePoint, ProjectWise, or similar is an advantage.
  • A professional project management certification such as PMP or an equivalent qualification is preferred.
  • Knowledge of the Irish energy or infrastructure environment would be beneficial.
