About the Role
Hunton Andrews Kurth LLP, a globally recognized law firm, seeks a Professional Assistant to join the Energy and Infrastructure legal practice in their Dubai office. This position offers specialized secretarial and administrative support aligned with both client and firm needs. The role plays a key part in delivering high-quality client service and supports firm initiatives and management directives.
Key Responsibilities
- Manage attorneys' communications, including email inboxes, calendars, contacts, internal and external mail routing, and client matter files while utilizing firm systems like Foundation.
- Ensure client file management adheres to the firm's Client File Maintenance policy with proper labeling and barcoding of physical files and accurate electronic filing in iManage system.
- Collaborate with attorneys to maintain electronic client materials in the proper firm repositories, assisting as needed to transfer Outlook emails and attachments into iManage for compliance with firm standards.
- Create, proofread, and edit various legal documents derived from handwritten drafts, electronic notes, or audio dictations, ensuring all outgoing correspondence and documents meet firm formatting and quality standards.
Qualifications and Skills
- High school diploma is essential; a college degree is preferred.
- Minimum 10 years of legal secretarial or equivalent administrative experience; prior exposure to law firm operations is advantageous.
- Advanced proficiency in Microsoft Office suite and PDF handling; familiarity with iManage and specialized firm software is a plus.
- Basic accounting knowledge including understanding client billing reports and usage of accounting software preferred.
- Excellent typing and word-processing abilities, strong command of legal terminology, and meticulous attention to spelling, grammar, and punctuation.
- Strong communication and interpersonal skills; ability to prioritize tasks, handle high-pressure environments, and display patience and diplomacy.
- Visual acuity for extended reading and keyboard work; physical ability to handle files and supplies weighing 5-10 pounds.
- Demonstrated initiative and sound independent decision-making skills; capable of multitasking and adapting to variable workloads including potential overtime on short notice.

This position is office-based in Dubai and requires adherence to local office and firm policies. Team collaboration and flexibility towards work assignments are essential for success. The candidate must be capable of performing all job duties effectively, with or without reasonable accommodations.
