Salesforce is looking for a seasoned Executive Assistant to support senior leadership and help drive productivity, focus, and coordination across a highly visible executive environment.
Role Overview
In this role, you will work closely with a senior executive as an extension of their leadership. The position calls for someone who can stay composed in a fast-moving, global, matrixed setting, manage shifting priorities, and protect sensitive information with absolute discretion. You will help balance business and personal commitments while keeping the executive’s time aligned with strategic goals.
Only candidates based in the listed location will be considered, and the role requires in-office presence three days per week.
Core Responsibilities
- Handle a wide range of administrative work such as calendar management, expense reporting, correspondence drafting, travel coordination, and office event planning.
- Create and maintain a practical operating rhythm for the executive by organizing priorities, deadlines, and key business milestones.
- Manage the executive’s schedule proactively so time and energy are used effectively.
- Arrange meetings and support participation in conferences, industry events, and speaking engagements.
- Tailor calendar and meeting support to the executive’s working style, preferences, and business priorities.
- Prepare agendas, gather materials, and help run meetings with structure and clear communication.
- Work across teams and with senior leaders inside and outside the company to keep coordination smooth.
- Plan and book travel in line with company policy, while considering timing, budget, visas, and required documentation.
- Assist with personal tasks and commitments when needed.
- Track internal projects and follow up on issues so work moves forward on time.
- Support management meetings, off-sites, and staff gatherings by coordinating agendas and logistics.
- Research issues, prioritize action items, and keep the executive and leadership team informed where relevant.
- Act as an early indicator of organizational issues or concerns that should be surfaced to the executive.
- Prepare critical materials and other hands-on deliverables as needed.
- Build strong internal relationships and maintain effective coordination with other executive assistants across the company.
- Protect confidential information and earn the trust of the executive and their leadership circle.
- Drive admin-team initiatives, including projects, process improvements, and learning opportunities with broader organizational impact.
- Mentor newer admins and help guide onboarding and team development efforts.
- Take on additional administrative and project-related responsibilities as required.
Minimum Requirements
- Must be located in the listed city and willing to work onsite three days per week.
- At least 10 years of relevant administrative experience, preferably in a global software company.
- Background supporting senior executives in a global, matrixed organization.
- Strong collaboration skills and a mindset focused on improving processes and execution.
- Ability to build productive relationships and grow an internal network across a global company.
- Clear, responsive, and professional communication with stakeholders at multiple levels.
- Skill in filtering large amounts of information into the most important actions, decisions, and follow-ups.
- Confident, tactful communication with the ability to spot gaps and ask for additional context when needed.
- Sound judgment when making decisions on behalf of the executive, including knowing when to defer.
- Ability to anticipate executive preferences and apply good judgment consistently.
- High discretion and careful handling of confidential information.
- Intermediate project coordination experience, including driving ambiguous initiatives with varying deadlines.
- Experience working with senior management in a fast-paced, innovative environment.
- Experience as part of a large administrative team.
- Advanced proficiency with Google Workspace, including Gmail, Calendar, Docs, Drive, and Meet.
- Exposure to Slack, Salesforce, Tableau, Concur, and Coupa is considered an advantage.

Benefits and Compensation

Some roles may also be eligible for incentive compensation, equity, and additional benefits.
The standard base pay range for this position is USD 117,200 to USD 176,700 per year. In selected cities within the San Francisco and New York City metro areas, the base salary range is USD 141,200 to USD 194,200 per year. The stated range reflects base pay only and does not include bonus, incentive pay, equity, or benefits, where applicable.
