Job description

Role Overview

The PMO Specialist serves as the central coordination point for the partnership portfolio, ensuring that all active and interdependent initiatives are tracked accurately and consistently. This position is responsible for creating and maintaining the reporting structure, dependency visibility, and portfolio-level follow-up needed to keep work moving across multiple stakeholders.

What You Will Do

  • Create and manage the PMO framework, including the master tracker, data governance rules, reporting templates, and dashboard views for all partnership initiatives.
  • Monitor portfolio-wide risks, assumptions, issues, and dependencies so that key challenges are visible and actionable.
  • Lead the regular status collection process by coordinating updates from initiative owners and partner representatives, then consolidating them into a single reliable portfolio view.
  • Align multiple connected workstreams across different teams and institutions without directly owning the delivery of any individual initiative.
  • Support governance activities by drafting Board and Committee materials, maintaining records of decisions and escalations, and ensuring actions are tracked through to completion.
  • Assist with bilateral committee and working-group meetings, including preparation, logistics, correspondence in Arabic where required, and travel or meeting coordination.

Experience and Background

  • 6 to 10 years of experience in PMO, program coordination, or portfolio management, preferably with exposure to setting up or running a PMO in a complex, multi-workstream environment.
  • Strong capability in managing dependencies, risks, and milestones across numerous simultaneous initiatives at portfolio level.
  • Hands-on experience with portfolio and project management tools and reporting platforms such as MS Project, Smartsheet, Jira, and Power BI, with the ability to configure and use them effectively.
  • Demonstrated ability to influence senior stakeholders and coordinate across multiple organizations without formal authority.
  • Excellent written communication skills, with professional fluency in both English and Arabic.
  • Bachelor's degree in a relevant discipline such as business, engineering, project or program management, public policy, or international relations.
