Our client is an Irish-owned construction project management consultancy with a strong international footprint. For over two decades, they have delivered complex, high-profile projects across multiple sectors, earning recognition for high quality, innovation, and lasting client relationships.
Role Overview
Due to business growth, they are seeking a highly organised and proactive Personal Assistant dedicated to supporting the Managing Director. This role is hybrid, requiring 1-2 days/week in the South Dublin office and remote working the rest of the time, including supporting during travel to various locations.
Regular travel is part of the position; thus, a full, clean driving licence and personal vehicle access are mandatory. Working hours are Monday to Friday, with occasional flexibility beyond normal business hours.
Key Responsibilities
- Provide complete personal and administrative support to the Managing Director.
- Efficiently manage a demanding and often changing schedule, including diary management and meeting coordination.
- Organise domestic and international travel, accommodation, transportation, and detailed itineraries.
- Prioritise and filter emails, phone calls, and correspondence to ensure urgent issues are promptly addressed.
- Coordinate meetings for internal teams, clients, and company events as needed.
- Welcome visitors and maintain a professional reception experience.
- Assist with the smooth daily office operations, ensuring an organised workplace.
- Manage office supply orders and oversee general office facility requirements.
- Support administrative needs of the wider team when required.
- Build and maintain strong relationships with clients, suppliers, and colleagues, acting as a trusted liaison for the Managing Director.
Essential Qualifications & Attributes
- At least 3 to 5 years’ experience in roles such as Personal Assistant, Executive Assistant, Senior Administrator, or Office Manager.
- Outstanding organisational and time management capabilities, managing multiple priorities simultaneously.
- Excellent communication skills, both written and verbal.
- Advanced Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint.
- Professional and confident demeanor when interacting with clients and colleagues at all levels.
- High discretion when handling confidential and sensitive commercial information.
- Strong attention to detail and a proactive, adaptable, problem-solving approach.
- Ability to work independently with minimal supervision while anticipating the needs of a busy Managing Director.
- Must hold a full, clean driving licence and have access to a personal vehicle.
Desirable Experience
- Background in construction, engineering, property, architecture, or professional services.
- Experience supporting senior executives or business owners in fast-paced commercial settings.
Additional Information
This standalone PA role requires comfortable independent working rather than supporting as part of a broader administrative team and includes managing some personal tasks for the Managing Director.
