The hiring organisation is an Irish-owned construction project management consultancy with a strong international footprint. Backed by more than two decades of experience, it delivers complex and high-profile work across multiple sectors and is well regarded for quality, innovation, and long-standing client partnerships.
Ongoing business expansion has created a need for an experienced, highly organised, and proactive Personal Assistant to support the Managing Director and keep daily operations running smoothly.
This position follows a partial hybrid model, with 1–2 days each week in the South Dublin office and the rest divided between remote work and on-the-move support while travelling to different locations.
Because travel is a regular part of the role, candidates must have a full, clean driving licence and their own car.
Working pattern: Monday to Friday. Some flexibility outside standard business hours may occasionally be needed.
The Opportunity
This role suits an experienced Personal Assistant who thrives in a dynamic, varied setting where priorities can shift quickly from day to day.
Working directly with the Managing Director, you will manage a demanding and changing calendar, organise travel and meetings, oversee everyday activity, and serve as a dependable contact for internal and external stakeholders.
You will also handle highly sensitive information, so professionalism, confidentiality, and strong judgement are essential.
This is an independent, stand-alone position for someone who is comfortable taking full ownership, working with limited supervision, and staying ahead of changing needs.
Key Responsibilities
- Deliver full personal and administrative support to the Managing Director.
- Take a proactive approach to managing a complex diary, including meetings, appointments, and frequent schedule changes.
- Organise travel within Ireland and overseas, including accommodation, transport, and detailed itineraries.
- Review, prioritise, and handle emails, phone calls, and correspondence so urgent items are dealt with quickly.
- Set up internal meetings, client meetings, and occasional company events.
- Greet visitors and maintain a polished and professional reception experience.
- Support the smooth running of the office and help maintain an organised, efficient workspace.
- Order office supplies and manage general office facilities.
- Provide wider administrative assistance to the team when needed.
- Develop strong relationships with clients, suppliers, and colleagues while representing the Managing Director professionally.
Requirements
- At least 3–5 years of experience in a Personal Assistant, Executive Assistant, Senior Administrator, Office Manager, or equivalent senior support role.
- Excellent planning and time-management abilities, with the confidence to juggle several competing priorities.
- Strong written and spoken communication skills.
- Advanced Microsoft Office capability, especially Outlook, Word, Excel, and PowerPoint.
- A professional, friendly, and confident manner when dealing with people at all levels.
- High discretion and the ability to manage confidential and commercially sensitive material appropriately.
- Very strong attention to detail, with a proactive, flexible, and practical problem-solving mindset.
- The independence to work with minimal oversight while anticipating the Managing Director’s needs.
- A full, clean driving licence and access to a personal vehicle.
- Comfort working as a standalone PA rather than as part of a broader administrative team.
- Willingness to support personal tasks for the Managing Director where required.
- Desirable: previous experience in construction, engineering, property, architecture, or professional services.
- Desirable: background supporting a business owner, Managing Director, or senior executive in a fast-moving commercial environment.
