Role Summary
This position reports to the People & Culture Manager and supports the daily functioning of the department. The role combines HR coordination, administrative support, communication handling, record management, and assistance with recruitment and colleague engagement activities.
Key Duties
- Support the Human Resources / People & Culture team in day-to-day operational tasks.
- Help with recruitment activities such as posting vacancies, reviewing CVs, and contacting candidates.
- Encourage strong colleague relationships by promoting open communication, trust, and mutual respect.
- Ensure department practices align with company, regional, hotel, and government rules and policies that apply to all colleagues.
- Manage calendars and provide administrative support to People & Culture leaders.
- Screen and prioritize incoming phone calls as well as walk-in and internal visitors.
- Process locker requests, name badges, ID cards, colleague letters, purchase requests, and expense reports when needed.
- Draft routine correspondence for the department, including letters and contracts.
- Assist with internal People & Culture projects, track required actions, and update progress reports.
- Maintain employee records and filing systems.
- Handle general office administration, including faxing, mail, phone coverage, photocopying, and office supplies.
- Support colleague events such as leadership meetings, colleague gatherings, and annual celebrations.
- Coordinate interview scheduling.
- Prepare offer letters and recognition letters for internal promotions and transfers.
- Maintain the People & Culture information system with accurate records, including new colleague entries and changes to salary or designation.
- Process Employee Action Forms accurately, including vacation entitlements, promotions, and salary updates.
- Handle monthly invoices, monthly timesheets, and email account setup for new colleagues.
- Perform other related tasks as assigned.
Requirements
- Applicants must be Saudi nationals due to local legal requirements.
- Prior experience in People & Culture or HR is an advantage.
- At least 2 years of administrative experience, ideally in a hotel setting.
- Ability to build and maintain a positive, supportive, and trusting workplace environment aligned with the company mission, brand promise, and values.
- Strong discretion and the ability to handle confidential information responsibly.
- Well organized, able to prioritize work, and comfortable meeting deadlines in a busy environment.
- Professional telephone etiquette and a warm, polished manner on calls.
- Excellent interpersonal, written, and spoken communication skills.
- A university or college degree/diploma is preferred, ideally with formal study in People & Culture Management.
- Strong computer skills, especially in Word, Excel, Outlook, and PowerPoint.
