Reporting to the Workplace Operations Manager, this role involves collaborating heavily with US People Operations and Talent Acquisition teams to oversee onboarding, recruitment logistics, employee engagement, and local employee support, ensuring a seamless experience throughout.
Key Responsibilities
- Coordinate the onboarding and offboarding processes for UK and EMEA employees to guarantee smooth transitions.
- Support employee lifecycle activities by liaising with US People Operations for benefits, payroll, HR administration, and mobility procedures.
- Handle routine employee questions, escalating to US teams as necessary.
- Maintain accurate employee records and manage People systems and documentation.
- Organize logistics for new hires including workspace setup, welcome materials, branded merchandise, and induction schedules.
- Schedule interviews across multiple time zones coordinating with hiring managers, recruiters, and interview panels.
- Manage onsite interview logistics such as room reservations and candidate hospitality.
- Ensure a superior candidate experience by maintaining clear communication and prompt coordination.
- Facilitate offer processes, background checks, and new hire logistics.
- Support recruitment analytics, hiring events, and continuous process enhancements.
- Coordinate team socials, employee engagement events, and internal activities at the London office.
- Assist with employee recognition initiatives and internal communication efforts.
- Manage branded merchandise distribution, welcome gifts, and employee experience programs.
- Support visitors, new starters, and candidates during onsite visits.
- Partner with the Workplace Operations Manager to foster an inclusive and engaging office environment.
Required Qualifications
- Between 2 to 5 years of experience in coordination roles within fast-paced environments, ideally supporting Workplace Operations, Employee Experience, People Operations, Talent Acquisition, or Business Operations.
- Outstanding organizational skills with the ability to juggle multiple priorities effectively.
- Excellent communication and interpersonal abilities to build strong relationships across teams.
- Proactive, resourceful, and capable of independently managing assigned tasks in a collaborative setting.
- Strong attention to detail and discretion when handling sensitive information.
- Quick learner for new systems and processes; proficient in Microsoft Office suite, Outlook, and collaboration platforms such as Slack.
- Adaptable and positive approach with enthusiasm for working across diverse functions to support growth.
- Willingness to work primarily onsite in London for at least four days per week.
Preferred Qualifications
- Previous experience in People Operations, Talent Acquisition, or Workplace support roles.
- Familiarity with Greenhouse or equivalent Applicant Tracking Systems.
- Background in onboarding, benefits administration, or HR support.
- Experience organizing internal events and promoting employee engagement or workplace culture.
- History of working in high-growth tech, defense, or start-up environments.
Compensation and Benefits
- Health coverage including private medical, dental, and vision insurance fully paid for employees and their dependents.
- 5% pension contribution matching by the company.
- Competitive base salary range between £50,000 and £70,000, complemented with stock options (pre-IPO), relocation aid, and forthcoming annual bonuses.
- A growing team of around 350 employees across five international offices.
