Role Overview

The People and Culture Coordinator represents the People and Culture department by delivering effective administrative support and managing daily operations efficiently, courteously, and professionally.

Key Responsibilities

  • Manage telephone communications and messages for the People and Culture department, upholding Four Seasons’ standards.
  • Efficiently type various correspondences including proposals, contracts, and forms.
  • Proofread all documents prior to managerial approval.
  • Adapt to new computer methods and assist colleagues in system upkeep.
  • Handle bulk correspondence and special mailings.
  • Maintain and organize reader files and employee files following established procedures.
  • Ensure timely distribution of employee information to relevant departments.
  • Notify the Director if assigned tasks cannot be completed within 24 hours.
  • Maintain a positive, helpful attitude toward clients and staff.
  • Provide coverage during absences of senior People and Culture team members.
  • Manage the department’s email inbox when required.
  • Keep the office environment neat and organized according to standards.
  • Assist in preparing reports for leadership and finance departments.
  • Manage procurement of supplies through appropriate channels.
  • Participate in scheduled meetings as requested.
  • Adhere to punctuality and payroll guidelines.
  • Prepare new hire documentation and welcome packs.
  • Arrange medical appointments and manage medical insurance for new and existing employees and dependents.
  • Assist with People and Culture payroll maintenance.
  • Operate computer applications including word processors, spreadsheets, and systems like Bayan and Workday.
  • Coordinate flight bookings for colleagues and dependents.
  • Maintain employment files and records meticulously in both physical and digital formats.
  • Organize and maintain cleanliness in employee common areas such as entrances, locker rooms, lounges, notice boards, and designated areas.
  • Foster positive relationships across departments following The Golden Rule.
  • Respond flexibly to shifts in business needs, including redeployment when necessary.
  • Design and participate in compensation surveys to analyze and recommend salary scales.
  • Lead and support wellness and recognition programs, including employee awards and social events.
  • Build trust with employees by being visible and attentive to their morale.
  • Address employee feedback constructively and promptly.
  • Demonstrate proficiency with People & Culture information systems.
  • Perform additional tasks assigned by senior People and Culture management.

Occupational Safety and Health Responsibilities

  • Comply fully with hotel OSH policies, procedures, and management measures for employee safety.
  • Report hazards, unsafe conditions, incidents, and near misses promptly.
  • Engage in OSH-related communication and training activities, including safety inductions and toolbox talks.
  • Maintain tools and equipment in safe condition and report defects immediately.
  • Adhere to safety signage and instructions at all times.
  • Understand the risks associated with assigned tasks and necessary safety arrangements.

Qualifications and Experience

  • At least one year of experience in People & Culture coordination or administration within hotel operations, preferably in luxury hospitality or service sectors.
  • Proficient in English with strong verbal and written communication abilities.
