Role overview
This is a remote, full-time position for a Patient Support Specialist in the United States. The role supports a virtual-first healthcare setting dedicated to improving access to compassionate, high-quality care for people dealing with mental health conditions, substance use disorders, and cognitive health concerns. You will act as the main contact for patients and caregivers, helping them move smoothly through appointments, care coordination, and everyday questions while keeping interactions calm, respectful, and solution-focused.
The position is offered through a partner company that handles the application process and all follow-up steps. Success in this job depends on strong communication, empathy, discretion, and the ability to stay organized in a fast-moving, mission-driven environment.
Key responsibilities
- Respond to incoming patient calls and messages with professionalism, warmth, and empathy.
- Support scheduling, rescheduling, and general appointment coordination, including urgent booking needs when required.
- Work with pharmacies on prescription-related follow-ups, including clarifications and re-sends when needed.
- Handle a range of patient concerns such as billing questions, appointment problems, feedback, and urgent support requests.
- Enter interaction details accurately into CRM tools while following HIPAA and internal compliance standards.
- Partner with clinical and care coordination teams to ensure smooth handoffs and uninterrupted patient support.
- Stay consistently available during assigned shifts to maintain dependable inbound coverage.
Requirements
- At least 2 years of experience in customer service or a similar customer-facing role, ideally in healthcare or behavioral health.
- Background in patient support, healthcare operations, or social services is preferred, especially with mental health or senior care populations.
- Ability to connect quickly with people and communicate clearly and compassionately, including with vulnerable individuals.
- Comfort managing a high volume of inbound interactions without losing accuracy or empathy.
- Strong problem-solving, multitasking, and time-management abilities in a busy environment.
- Working knowledge of Google Suite and CRM or scheduling systems.
- Fluent English and Spanish communication skills are required.
- Skill in calming tense conversations and guiding them toward a constructive outcome.
- Solid understanding of HIPAA rules and confidentiality practices.
