We serve brands delivering to leading U.S. and global retailers such as Sephora, Ulta, Target, Walmart, CVS, and Nordstrom.
Role Overview
We are hiring a full-time Operations Associate to remotely support our rapidly expanding client portfolio of Consumer Packaged Goods (CPG) brands. The position is based out of Brooklyn, NY, with a preference for candidates near the NYC area to work during 9am-6pm EST hours. The Operations Associate will report to a Lead Operations team member and assist in daily operations related to e-commerce, retail, logistics, and customer service functions for various clients.
Key Responsibilities
- Assist with day-to-day operational activities across clients' e-commerce, B2B, and customer experience channels.
- Adapt and learn individual client workflows, systems, platforms, and supply chain architectures.
- Work cross-functionally to resolve fulfillment and shipping challenges, coordinate with third-party logistic providers, and enhance internal procedures.
- Ensure timely processing of e-commerce and drop-ship orders aiming for a 100% fill rate, promptly addressing integration issues.
- Communicate with 3PL partners to resolve order delays, incorrect shipments, and lost packages; process carrier claims as necessary.
- Investigate suspicious or high-risk orders; analyze return trends and customer service tickets to detect fulfillment patterns and issues.
- Manage wholesale order processing through 3PL Warehouse Management Systems (WMS) and Electronic Data Interchange (EDI) platforms, ensuring compliance with routing guidelines.
- Coordinate with 3PL teams for order packing, shipping documentation preparation, and invoice submission.
- Update order statuses and tracking information within retail portals and EDI systems.
- Handle Returns to Vendor (RTVs), shortages, chargebacks, and returned goods quality control, analyzing historical data to reduce chargebacks.
- Maintain strong partnerships with 3PL and freight providers to guarantee on-schedule inbound and outbound deliveries.
- Oversee specialty projects, value-added services, and Bill of Materials (BOM) compilations.
- Monitor inventory levels of finished products and packaging materials at 3PL warehouses for key clients.
- Support customer service teams and manage reverse logistics operations as required.
- Process special order requests for press, marketing, sampling, and VIP customers.
- Contribute to updating sales and inventory reports, conducting freight analyses, and auditing logistics billing.
- Identify and escalate integration or operational challenges, aiding troubleshooting efforts across brand and vendor stakeholders.
- Prepare and compile fulfillment and customer service data into reports for internal use and client distribution.
- Create, organize, and maintain Standard Operating Procedures (SOPs), client documentation, and retail routing guidelines.
Candidate Requirements
- Minimum of one year experience in retail or CPG industries, preferably in operations or customer support roles.
- Strong interpersonal and communication skills focusing on relationship building with clients and vendors, capable of crafting thoughtful and engaging responses.
- Highly motivated to acquire new skills and understand evolving process flows.
- Excellent attention to detail, organizational abilities, and capacity to multitask across multiple clients, orders, deadlines, and communications accurately and timely.
- Ability to combine creativity with data-driven strategies for effective and innovative operational problem solving.
