About the Role

Freedom24 is an international financial group growing quickly across Europe and listed on NASDAQ. The Berlin team is seeking a highly organized, proactive Office Manager who can keep daily operations running smoothly while also supporting HR, accounting, and vendor coordination.

This position goes beyond standard office administration. You will help ensure the Berlin office functions efficiently, support invoice and expense handling, work with payroll providers and auditors, assist the HR team with everyday people-related tasks, and help maintain a smooth, professional workplace.

Finance & Accounting Support

  • Handle vendor invoices in SAP Concur according to company policies and required deadlines.
  • Review employee expense claims and make sure they comply with internal procedures.
  • Work closely with accounting teams, payroll providers, and auditors to support compliance and financial correctness.

HR & People Support

  • Provide dependable operational support to the HR team across a broad range of people-related and administrative tasks.

Vendor & Communication Management

  • Develop productive relationships with vendors and service providers to secure reliable and cost-effective support.
  • Manage internal and external communication in a way that reflects the company’s professional standards.

Office & Administrative Management

  • Receive, process, and track incoming and outgoing correspondence with care and confidentiality.
  • Keep documents moving efficiently between teams and ensure internal processes are completed on time.
  • Maintain an organized, efficient, and welcoming office environment.
  • Oversee office supply purchasing, inventory checks, physical stock audits, and accurate record maintenance.

Executive Support & Guest Relations

  • Coordinate calendars, appointments, meetings, and conferences from start to finish.
  • Act as the first point of contact for visitors and callers, including greeting guests and routing calls appropriately.
  • Arrange business travel, including flights, accommodation, and itineraries.
  • Support cross-functional projects and broader company initiatives when needed.

Requirements

  • Strong written and spoken German at C1 level or higher; this is mandatory.
  • Fluent written and spoken English.
  • At least 3 years of experience in a similar administrative or operational position.
  • Practical experience with accounting or invoicing processes; familiarity with SAP Concur or a comparable tool is an advantage.
  • A bachelor’s degree is preferred, ideally in Business Administration, Management, or a related subject.
  • Comfort using MS Office and electronic document management systems.
  • Excellent organization and time-management abilities, with the capacity to handle several priorities in a fast-moving setting.
  • Very high attention to detail and accuracy.
  • A proactive, solution-focused team player who can also work independently and is eager to learn and develop.
