About the Role

Doctors&Co is hiring a warm, well-organized Medical Receptionist for The Quay Family Healthcare in Bellbrae, Victoria. This position sits at the front desk of the clinic and plays an important part in creating a smooth, welcoming experience for patients and visitors. The role involves handling reception duties, supporting clinic administration, and contributing to the overall day-to-day operation of the medical centre.

Key Duties

  • Follow the clinic’s opening and closing procedures at the start and end of the day.
  • Welcome patients and callers politely and professionally.
  • Book and manage patient appointments.
  • Handle medical records carefully, with a strong focus on confidentiality and efficiency.
  • Process patient payments accurately through cash, Eftpos, and direct billing.
  • Raise invoices for Medicare, private health funds, TAC, and WorkCover.
  • Use correct billing practices and apply knowledge of the MBS schedule.
  • Liaise courteously with referring doctors, hospital staff, pharmacists, and other stakeholders.
  • Respond to patient queries and provide helpful support.
  • Monitor internal emails and action incoming messages as needed.
  • Cover roster gaps when team members are away, on leave, or unwell.
  • Keep the reception area and consulting rooms neat, including cleaning up spills when necessary.
  • Scan, fax, file, store, and retrieve patient and practice documents accurately.
  • Protect patient personal and financial information at all times.
  • Complete patient recalls.
  • Support everyday clinic operations.
  • Deliver strong customer service and work well as part of a team.

What the Clinic Is Looking For

  • Proven ability to contribute effectively in a team setting.
  • Experience using medical software such as Best Practice or Medical Director.
  • Strong organisation skills and a practical approach to solving problems.
  • Ability to manage multiple tasks in a busy, high-pressure environment.
  • Clear verbal and written communication with internal and external stakeholders.
  • Genuine commitment to high-quality patient care and service.
  • At least 1 year of experience working as a Medical Receptionist in a medical practice.
  • Availability to work on a rotating weekend roster.
  • Ability to provide a current Police Check.
  • Current Working With Children clearance.
  • Current First Aid and CPR certificate.
  • Up-to-date immunisation record.
  • Valid driver licence or photo ID.

Additional Information

This is a part-time, on-site role based in Bellbrae, Victoria, Australia. The expected start is as soon as possible. Pay is negotiable and will be discussed based on experience. Only shortlisted candidates will be contacted.
