Role Summary

We seek a driven, detail-focused Marketing Specialist to lead and assist the planning and execution of diverse events including webinars, trade shows, conferences, and customer events. This position is integral to boosting brand visibility, customer interaction, and sales pipeline growth. The successful candidate will operate in a fast-paced, collaborative environment, handling multiple event components while working alongside internal teams and external suppliers to guarantee flawless event delivery. In addition to event management, contributing to broader marketing efforts as required is expected.

Key Responsibilities

  • Oversee and facilitate live and virtual events such as trade shows, conferences, webinars, and customer-oriented gatherings.
  • Manage event-related logistics, timelines, travel arrangements, vendor communications, bookings, onsite assistance, and follow-ups post-event.
  • Coordinate all webinar processes including scheduling, speaker engagement, rehearsals, live moderation, attendee interaction, and post-event tasks.
  • Collaborate with departments such as Marketing, Sales, and Design, alongside customers, partners, and external vendors to ensure seamless event execution.
  • Support marketing campaigns associated with events, including email outreach, promotions, social media coordination, and distribution of event-related materials.
  • Maintain event materials inventory, overseeing assets such as booth displays, printed collateral, promotional merchandise, company apparel, and logistics for shipping supplies.
  • Handle CRM and lead management linked to events and webinars, including data uploads, organization, segmentation, and tracking follow-ups.
  • Compile reports on event outcomes, monitor related expenses, and identify improvements for future events and audience engagement.

Candidate Profile

  • Minimum three years’ experience in event marketing, marketing coordination, or a related B2B marketing field.
  • Preferably experienced in B2B software, SaaS, or technology sectors.
  • Highly organized with meticulous attention to detail and the ability to juggle multiple deadlines simultaneously.
  • Proficient in managing vendor relations, budgeting, timeline adherence, and logistical planning.
  • Excellent written and oral communication skills with a proactive and collaborative work ethic.
  • Comfortable acting as a company representative at live events and dedicated to fostering a positive experience for attendees.
  • Familiarity with CRM and marketing platforms such as HubSpot and GoToWebinar is advantageous.

Location and Travel

This position is based in Boston, MA, and follows a hybrid work model. Occasional travel to events and conferences is expected, approximately five times annually.
