Role Overview
The Marketing Events Coordinator plays a crucial role in supporting the planning, coordination, and execution of a variety of marketing events designed to enhance engagement, bolster pipeline development, and elevate brand awareness. This position focuses heavily on the operational aspects of event management across regional field events and corporate campaigns, partnering closely with marketing, sales, partners, and vendors to ensure seamless event delivery within budget and aligned with brand standards.
Key Responsibilities
- Assist in organizing and executing regional field marketing events, partner engagements, webinars, and corporate marketing initiatives.
- Manage event schedules, task tracking, registration processes, calendars, and planning documents to guarantee timely program progress.
- Coordinate event logistics such as venue selection, catering, shipping arrangements, promotional materials, signages, and onsite event details.
- Collaborate with marketing, sales, partner alliances, and content teams to promote events, target attendees, and support follow-up activities.
- Collect and manage event requirements including deadlines, creative assets, speaker coordination, and necessary internal approvals.
- Serve as the primary daily coordinator for assigned events, addressing issues and escalating when needed.
- Engage with vendors for outreach, obtaining estimates, managing invoices, contracts, purchase orders, and tracking budgets effectively.
- Maintain detailed and organized records encompassing budgets, attendee reports, vendor contacts, and post-event documentation.
- Ensure cost-efficient event planning while adhering to internal protocols and brand guidelines.
- Support onsite and virtual event execution including setup, registration, attendee assistance, materials distribution, and event closure activities.
- Manage post-event efforts such as updating attendee lists, handing off leads, distributing surveys, and facilitating follow-up communication.
- Help compile basic event performance reports covering attendance metrics, engagement levels, feedback, and insights for improvement.
Essential Qualifications and Skills
- Bachelor's degree in Marketing, Communications, Event Management, Business, or a related discipline, or equivalent practical experience.
- 1 to 3 years of experience supporting marketing events including field marketing, corporate events, or similar marketing programs.
- Excellent organizational capabilities to handle deadlines, detailed event elements, and managing multiple concurrent event workflows.
- Proven experience in coordinating logistics, vendors, attendee communication, and event materials management.
- Adept in cross-functional collaboration with sales, marketing teams, partners, and external suppliers.
- Meticulous attention to detail, comfortable monitoring budgets, timelines, attendee databases, and handling follow-ups post-event.
- Strong communication skills — written, verbal, and interpersonal.
- Ability to thrive in fast-paced environments with a positive, proactive service mindset.
- Exposure to B2B technology sectors, professional services, or partner-driven event environments.
- Familiarity with marketing automation, customer relationship management (CRM) platforms, event registration software, or project management tools.
- Experience supporting diverse event formats including virtual, hybrid, and in-person settings.
- Proficient in Microsoft Teams and Microsoft Office applications.
- Interest and aptitude in creating repeatable processes, templates, and best practices for event execution.
