Job description

Role overview

This position supports marketing leadership by handling a wide range of advanced administrative and coordination tasks. The role calls for someone who can work on sensitive matters with sound judgment, stay highly organized, and operate effectively with minimal supervision in a fast-moving environment.

Key responsibilities

  • Oversee complex calendar management, travel planning, and schedule coordination.
  • Handle incoming and outgoing email communication.
  • Keep departmental databases and lists accurate and up to date.
  • Prepare spreadsheets and input data, including budget tracking information.
  • Manage filing, email, mail distribution, supplies ordering, and presentation materials.
  • Draft, organize, and manage presentations, detailed reports, confidential correspondence, and records.
  • Work with customers, vendors, and agencies while maintaining strong internal and external relationships.
  • Support marketing meetings, off-site sessions, and employee engagement events.
  • Arrange meetings and travel and maintain the department calendar.
  • Process purchase cards, expense claims, and invoices.
  • Administer unit-specific programs, projects, and processes, including coordination with project managers and contractors.
  • Operate in a high-pressure, fast-paced setting while staying flexible, proactive, efficient, and professional.
  • Communicate clearly in writing and speaking, make sound decisions, and maintain strong attention to detail.
  • Prepare and process settlement forms.
  • Assist with payroll activities, issue resolution, and time-and-attendance calibration with managers.
  • Support onboarding for new hires, including security access badges and pre-employment testing coordination.
  • Contribute to special marketing projects and provide support to additional marketing leaders as needed.

Qualifications

  • High school education is required; some college coursework in business, communications, or a related field is preferred.
  • About 2 years of experience in a senior administrative or high-level support role is preferred.
  • Demonstrated ability to solve problems resourcefully.
  • Prior experience coordinating projects is preferred.
  • Intermediate proficiency with Microsoft Word, Excel, PowerPoint, Teams, and Outlook is required.
  • Strong detail orientation, interpersonal ability, and communication skills are needed.
  • Excellent organization and time management skills with the ability to meet deadlines.
  • Experience arranging travel and managing executive schedules is preferred.
  • Background supporting teams in professional services, sales, or marketing environments is preferred.
  • Experience building or improving processes is preferred.

Compensation and benefits

The pay range for this role in the United States is USD 80,300 to USD 95,700 per year. Base pay may differ based on geography, role-related knowledge, skills, and experience. The position also includes access to a full range of medical, financial, and other benefits, with eligibility starting on the first day of employment.

An annual incentive reference value of 7.5% applies to this role. A long-term incentive reference value of 0% to 20% is also noted.

Work arrangement and additional details

This is a full-time onsite role based in Atlanta, Georgia, United States. Travel may be required for 0% to 25% of the time. Relocation assistance is not provided.
