Overview
Join Loyola Marymount University as a Manager of Special Events, responsible for elevating the university's presence and reputation by leading strategic planning, execution, and assessment of significant university events. This role supports University Advancement by creating impactful alumni, donor, and leadership engagement opportunities that further philanthropic goals.
Primary Responsibilities
- Oversee the comprehensive management and execution of prominent events, ensuring they align with LMU’s visibility and engagement objectives.
- Manage all stages of event preparation including concept development, marketing collaboration, budget oversight, venue and vendor coordination, risk management, programming, team and volunteer leadership, registration, event delivery, and post-event analysis.
- Work in close partnership with University Advancement Marketing, campus groups, and external service providers to maintain brand consistency and strategic alignment.
- Participate in strategic planning and event review sessions to evaluate success metrics and implement improvements.
- Establish and uphold professional standards, workflows, and procedures that guarantee event quality and brand integrity.
- Perform additional tasks that support the Director of Special Events and overall University Advancement division.
Qualifications and Skills
- At least five years of progressively responsible experience in planning and producing both in-person and virtual events, preferably within higher education or a similarly complex setting.
- Proven leadership capabilities overseeing staff, volunteers, vendors, and cross-functional teams in a team-oriented, results-focused environment.
- Strong project management aptitude to juggle multiple concurrent events and deliver on deadlines with quality results.
- Expertise in managing budgets, schedules, and priorities in dynamic, deadline-driven contexts.
- Exceptional interpersonal and communication skills to engage diverse audiences and navigate complex stakeholder relationships diplomatically.
- Sound judgment and decision-making skills with a record of offering definitive guidance and resolving challenges effectively.
- Knowledge of event marketing, communications, and social media tactics, alongside familiarity with digital tools and platforms.
- Competence in virtual event technology platforms, such as Zoom, plus the ability to adapt quickly to new technologies.
- Preferred familiarity with the Los Angeles event market and existing vendor relations.
- Experience hosting university events is an advantage.
- Discretion in handling confidential information, especially when dealing with senior leaders and major donors.
- Proficiency in event/project management software (e.g., Cvent, Smartsheet, Salesforce) and Microsoft Office suite.
Education
Bachelor’s degree required, with preference for industry certification (such as CMP or CSEP) or equivalent experience in events, public relations, or related fields. Continuous professional development is expected to maintain industry standards.
Additional Details
- Some evening and weekend work hours are expected.
- Travel required up to 10% of the time.
- Physical ability to stand, walk, sit, and perform desk tasks frequently.
- Ability to lift and transport objects up to 50 pounds.
- Must be able to obtain and hold a California Non-commercial Class driver’s license and operate vehicles including golf carts.
Compensation
The role offers an annual salary range of $72,100 to $75,000, commensurate with experience and education.
