Job description

About the Company

Karbon is a leading AI-driven practice management platform built for accounting firms. Its cloud-based product helps accounting professionals collaborate more effectively and work with greater efficiency every day. The company serves customers in 40 countries and operates with a distributed workforce across the US, Australia, New Zealand, Canada, the United Kingdom, and the Philippines. Karbon is well funded, holds the #1 position on G2, is expanding quickly, and has earned recognition for its people-first culture through Great Place To Work® certification and a place on Fortune’s Best Small Workplaces™ list.

Role Overview

The People team is looking for an operations leader who is deeply AI-native, builds scalable systems, and treats agentic workflows as the core of a modern People Operations function. Reporting to the VP of People, this person will oversee the operating foundation for hiring, onboarding, and supporting Karbonites across six countries, with room to grow into a larger pillar within the People organization.

The right candidate naturally asks how an agent can own a manual process before considering human ownership. This role is not focused on coordination or routine ticket handling; it is centered on designing how work should flow and building the systems that allow a lean team to function at much larger scale. The position combines multi-country HR compliance with prompt engineering, integrations, and agent orchestration, and includes ownership of People Ops operations, a substantial TA reporting/forecasting layer, and benefits administration.

Key Responsibilities

  • Redesign and improve the full People Ops and TA operating model, making AI agents and agentic workflows the default across onboarding, offboarding, employee lifecycle changes, and recruiting operations.
  • Create and deploy AI agents that can independently handle recurring tasks such as onboarding orchestration, compliance document preparation, offer letter creation, interview coordination, and tier-1 employee support.
  • Monitor HR compliance across six countries with AI-enabled checks that identify risks, track legal updates, and keep entity-level obligations current without relying on manual tracking.
  • Develop real-time reporting and analytics for People and TA, including dashboards, hiring funnel visibility, and operational health metrics that leaders can use directly.
  • Manage HRIS, ATS, and the broader People technology stack as a connected, AI-enhanced ecosystem, assessing tools for API-first architecture and readiness for agent-based workflows.
  • Support talent acquisition through forecasting, recruiting data quality, and funnel reporting, while partnering with hiring managers to embed AI into hiring analysis and tracking.
  • Lead benefits administration and vendor coordination for the US entity, using AI to simplify open enrollment, track eligibility, and summarize utilization trends for future planning.
  • Improve employee experience through proactive, AI-supported processes that reduce friction before issues turn into support tickets.
  • Create and maintain process documentation and knowledge resources so workflows are clear for both people and AI agents.
  • Work cross-functionally with Finance, IT, and Legal on AI-supported processes for headcount planning, access provisioning, contracts, and policy work.
  • Coach the People team on AI literacy, automation design, and agent development while modeling an AI-first operating style.
  • Own AI governance for People, ensuring that automation and AI tools are used ethically and in line with global employee and candidate data handling requirements.

Candidate Profile

This position calls for someone with at least 5 years of progressive experience in People Operations or HR Operations, along with some leadership or team lead exposure. Experience in SaaS or high-growth technology environments is required, along with a strong understanding of how global, multi-entity People functions work at scale.

Hands-on experience with AI tools, agent builders, and agentic workflows is essential. The role also requires comfort with APIs, integrations, automation tools such as Zapier, Make, or n8n, and prompt engineering as practical, day-to-day capabilities. Experience across multiple countries is preferred, especially in combinations that include the US, UK, Australia/New Zealand, Canada, or the Philippines.

Applicants should bring a process-rebuild mindset, favoring automation and system redesign over incremental improvement. A working understanding of US benefits administration, including open enrollment, carrier management, ACA, and ERISA basics, is important, as is practical knowledge of HR compliance across several jurisdictions. Strong data fluency, systems thinking, integrity, discretion, high emotional intelligence, and enthusiasm for AI’s role in People Operations are all key attributes for success.

Compensation and Benefits

The estimated annual base salary for this role is USD 120,000 to USD 130,000. Total compensation may also include bonus and equity opportunities depending on the position, along with a strong benefits package.

  • Flexible paid time off, with an encouraged target of three weeks off each year
  • Company-paid medical coverage for the employee and eligible spouse/partner and dependents
  • Company-paid dental and vision coverage for the employee and eligible spouse/partner and dependents
  • Fully company-funded short-term and long-term disability coverage
  • Fully company-paid life insurance
  • 401(k) plan with company matching
  • Flexible spending account
  • Up to eight weeks of paid parental leave
  • Work-from-home stipend
  • Opportunity to learn from an experienced, high-performing team
  • Collaborative, team-oriented culture that values diversity, development, and regular feedback
  • Fast-growing environment with strong internal promotion opportunities
