About the Role
Partnering closely with the Executive Director, the Key Account Operations and Planning Manager is tasked with developing annual retail and net sales forecasts for designated accounts while managing the operational foundation that ensures those plans are effectively executed. This position transforms strategic directives into detailed data management practices, employing data analysis and market intelligence to enhance inventory efficiency, uncover expansion opportunities, and reduce liabilities. By overseeing planning systems and daily operations, this role is vital for achieving yearly sales targets, minimizing excess stock, and fostering profitable growth channels.
Primary Responsibilities
- Supervise the entire purchase order lifecycle, including initial and replenishment orders, ensuring accurate order volumes from retailers, monitoring fulfillment, analyzing inventory reductions, and directly addressing operational or shipping queries with retail partners.
- Coordinate with the internal Customer Operations team to track order deliveries and facilitate inventory requests or reallocations as required.
- Address inventory issues and stock-related inquiries from field teams appropriately.
- Predict returns, manage Destroy in Field (DIF) allocations, and oversee product discontinuations to actively minimize Return to Vendor (RTV) liabilities.
- Manage RTV authorization and tracking, enforcing compliance with budget restrictions and internal control standards.
- Evaluate monthly Open-to-Buy (OTB) for retailers to detect unexpected changes or potential concerns after month-end closures.
- Navigate and complete necessary internal and external operational approvals following corporate workflows.
- Manage product data setup and maintenance, including inputting New Product Forms (NPFs) and sample information into retailer Product Information Management (PIM) systems.
- Develop, submit, and keep up-to-date retail assortment files for Sephora, collaborating with the Executive Director and Visual Merchandising team to maintain precise data.
Reporting and Data Management
- Work jointly with internal teams to set performance targets at specific store locations, weekly, quarterly, and channel levels during budgeting and revising periods.
- Construct retail sales plans for product launches and continuously monitor progress toward sales goals and sell-through rates.
- Generate, refresh, and distribute regular sales and inventory reports, including best seller lists, store rankings, and overall sales results to support strategic discussions.
- Prepare customized sales data reports to aid business reviews by analyzing year-over-year trends, shelf productivity, and sell-through metrics.
- Engage in weekly sales performance meetings with leadership to review ongoing results.
- Participate in routine budget assessment and tracking meetings with the Executive Director.
Candidate Requirements
- A minimum of three years experience in retail sales planning, demand forecasting, or inventory planning combined with strong expertise in retail operations or commercial data analysis, preferably within high-volume retail or the cosmetics industry.
- Additional advantage for candidates with experience in sales administration and account coordination roles.
- Proven proficiency working with major retail portals and vendor systems like Sephora, PIM platforms, or automated replenishment software.
- Advanced skills in Microsoft Excel, including capabilities like VLOOKUP, pivot tables, and data manipulation to manage complex SKU datasets and detect trends.
- Solid understanding of retail metrics such as Open-to-Buy, sell-through rates, Weeks of Supply, and Return to Vendor procedures.
- Meticulous attention to detail and the capability to manage multiple tracking documents simultaneously while effectively coordinating administrative approvals across departments.
Compensation and Benefits
Anastasia Beverly Hills offers a competitive base salary ranging from $85,000 to $95,000 annually for this position in Los Angeles. Salary can vary based on qualifications, skills, experience, and location factors. The compensation package includes eligibility for bonuses, full benefits, and a company 401(K) plan with matching contributions. The base pay constitutes part of the total remuneration designed to reward employee performance.
