Job description

About the Role

We are a compact remote-first organization dedicated to delivering outstanding global event experiences. We seek a Junior Marketing Coordinator based in the New York City area to assist with supporting our events program and coordinating on-site event activities. This position is ideal for someone who enjoys detail-oriented tasks, thrives in a dynamic remote work environment, and appreciates a varied workload. Daily responsibilities might include managing webinar registrations, negotiating with event vendors, reviewing marketing content, or organizing logistics for upcoming events. You will serve as a crucial link ensuring smooth event operations and advancing marketing initiatives, within a team that actively encourages growth.

Key Responsibilities

  • Plan, set up, and execute virtual events end-to-end using Zoom Webinars and Zoom Events platforms.
  • Provide support for in-person and hybrid events, including venue arrangements, vendor coordination, briefing the on-site team, and overseeing event-day operations.
  • Identify and engage vendors, collect pricing proposals, and negotiate costs to remain within budget constraints.
  • Collaborate across multiple global time zones with colleagues, speakers, and external collaborators.
  • Edit marketing materials for grammar accuracy, clarity, and adherence to brand voice; compose event communications and basic marketing copy.
  • Handle project timelines and management using tools such as Asana, Monday.com, or Notion.
  • Monitor event budgets and manage reconciliation of event expenses following completion.

Candidate Profile

  • 1 to 2 years of experience in marketing coordination, event support, or related administrative and operations roles.
  • Practical experience specifically with Zoom Webinars or Zoom Events (beyond basic Zoom meetings).
  • Excellent writing skills with meticulous attention to grammar, clarity, and detail.
  • Demonstrated capacity to juggle multiple projects and meet deadlines effectively.
  • Ability to work independently with minimal supervision in a remote-first setting.
  • Positive, collaborative mindset and readiness to assist with various tasks as needed.

Preferred Qualifications

  • Familiarity with project management software such as Asana, Monday.com, Notion, or Trello.
  • Experience in virtual event production or hosting webinars.
  • Exposure to working within international teams or managing multiple time zones.
  • Knowledge of email marketing platforms like HubSpot or Mailchimp.
  • Basic skills with design applications such as Canva or Adobe Express.
