Role Overview
This role is a versatile administrative position supporting both the Finance and Legal teams. It is ideal for someone highly organised, adaptable, and attentive to detail who can help keep supplier processes, contract administration, and internal workflows running smoothly.
Legal and Contract Administration
- Help manage the contract repository by monitoring important dates, obligations, and system administration tasks.
- Coordinate approvals and signatures for legal paperwork.
- Prepare and verify straightforward legal documents and contracts using company templates.
- Work with the Member Happiness team on customer service issues and assist Marketing with promotion-related support.
- Support routine corporate administration, including meeting minutes and business filing records.
- Carry out simple research tasks to assist the General Counsel on projects.
Finance Support
- Process incoming supplier invoices.
- Guide internal teams on purchase order procedures and help reinforce correct process use.
- Handle supplier communications related to invoices and payments.
- Run the weekly payment cycle.
- Add new suppliers in NetSuite and confirm banking information.
- Reconcile company credit cards.
- Process employee expense claims and build expertise in the relevant expense system.
- Support banking and treasury administration.
- Provide general administrative help and complete ad hoc tasks as required.
Requirements
- Strong Excel skills.
- An enquiring, curious approach to work.
- Good lateral thinking and practical problem-solving ability.
- Excellent attention to detail, communication, and problem-solving skills.
- Comfort interacting with colleagues at all levels of the organisation.
- Confidence working with large volumes of raw transactional data.
- Experience with NetSuite is useful but not mandatory.
- Drive and ambition to contribute in a business that is evolving quickly.
- Background in e-commerce is an advantage, though not essential.
- Flexibility and adaptability in a fast-moving scale-up environment.
