Role Overview
The Inventory Support Officer role is available in two tracks: POS Terminals and Spare Parts. In both tracks, the officer is responsible for maintaining accurate inventory records, protecting stock integrity, ensuring full traceability, and keeping physical stock aligned with system records throughout the repair centre workflow.
Inventory Support Officer – POS Terminals
This track is responsible for safeguarding all POS terminals moving through the repair process. The officer ensures that every terminal is tracked from receipt of faulty units through repair, quality assurance, and final dispatch, while keeping system records and physical stock perfectly aligned.
Key Duties – POS Terminals
- Accept faulty or returned terminals from state offices, confirm them against the recall waybill using serial-level checks, and only then log them into the inventory system.
- Record all newly received devices in the IMS within 24 hours of physical delivery.
- Separate damaged units or items with missing serial numbers and raise a discrepancy report without delay.
- Send faulty terminals to technicians each day and mark them as in repair once assigned.
- Track each device through assessment, repair, QA, QA-cleared, and dispatch-holding stages.
- Ensure the process meets the 24–72-hour service level targets from receipt to assignment and from QA clearance to dispatch readiness.
- Update QA-approved units in the system as QA cleared and awaiting dispatch within 4 hours.
- Return failed QA items back into the repair flow or classify them as beyond economic repair with a documented justification.
- Isolate and tag BER items in the scrap or disposal holding area.
- Prepare dispatch lists and waybills for refurbished and OK devices, and secure approval from the Repair Centre Manager and Cluster Lead before release.
- Scan each device at serial level during loading and change its status to in transit – outbound.
- Obtain acknowledgment of receipt from the receiving state SIO and close the transaction in the inventory system.
- Carry out daily physical counts of terminals in the repair centre and reconcile them with IMS records.
- Report any physical-versus-system variance to the Lead, Inventory Support on the same business day.
- Take part in monthly, quarterly, and annual wall-to-wall stock counts when required by the Inventory & Warehouse Manager.
- Keep storage zones clearly separated and labelled for faulty, under-repair, refurbished/OK, and BER/scrap items.
- Follow the POS Inventory Control SOP and maintain audit readiness, workplace safety, and environmental handling standards.
Inventory Support Officer – Spare Parts
This track oversees the full life cycle of repair consumables such as batteries, screens, cables, and accessories. The purpose of the role is to ensure technicians receive the correct parts on time, reduce wastage, and maintain complete documentation and traceability for every movement.
Key Duties – Spare Parts
- Receive incoming spare parts shipments, verify them against the delivery note at batch or serial level, and record them in the IMS.
- Store parts in clearly labelled bins arranged by part type and model compatibility.
- Maintain storage conditions that protect electronics from moisture, dust, and extreme temperatures.
- Issue parts only when there is an approved technician Job Card validated by the Repair Centre Manager.
- Update inventory levels immediately after every issue, with no undocumented movement allowed.
- Process returns of unused or incorrect parts from technicians and reflect them in the system.
- Reconcile physical spare parts stock with IMS records every week.
- Identify slow-moving, expired, or obsolete stock and report it to the Lead, Inventory Support.
- Submit replenishment requests when stock reaches the reorder threshold.
- Prepare weekly reports on spare parts usage and stock position for the Lead, Inventory Support.
- Maintain a complete issue log linking each part to its Job Card and technician.
- Capture part-failure information to support procurement decisions and OEM quality feedback.
- Keep the storage area clean, well-zoned, and properly labelled at all times.
- Ensure duties are separated so that no one authorises their own issuance.
- Support scheduled and surprise stock counts whenever required.
Requirements
Candidates should have at least an OND in a relevant field, along with a minimum of 2 years of experience in inventory operations. Strong computer literacy is essential, especially in Microsoft Excel, Word, and PowerPoint. The role also requires the ability to work with limited supervision, strong accuracy and attention to detail, familiarity with inventory management systems and workflow applications, experience handling high volumes of items, good organisational and record-keeping ability, strong communication and stakeholder coordination skills, and the capacity to manage multiple priorities while meeting deadlines.
Reporting Structure
Functional reporting goes to the Lead, Inventory Support (Regional). Operational reporting is to the Repair Centre Manager. Dotted-line reporting is to the Regional Inventory & Warehouse Manager.
Work Standards
The role requires consistent compliance with inventory control procedures, disciplined custody management, timely documentation, and readiness for audits and stock reconciliations.
