Join Insomniac Europe, a leader in producing cutting-edge, immersive music festivals globally, including the renowned Electric Daisy Carnival Las Vegas, the world’s largest dance music festival attracting over half a million attendees annually. Founded in 1993 and based in Los Angeles, Insomniac creates over 10,000 events yearly across 13 countries on five continents.

The Human Resources Coordinator will be instrumental in managing daily HR activities, including recruitment, onboarding, offboarding, employee engagement, and supporting cultural initiatives. This full-time position is based in Calabasas, CA, requiring onsite presence and reports to the HR Manager.

Key Responsibilities

  • Assist with recruitment tasks such as job requisition management, interview scheduling, candidate communication, and coordinating job offers.
  • Ensure candidates have a positive experience by adhering to company best practices and standards.
  • Participate in virtual job fairs and recruitment events, supporting the recruitment team as needed.
  • Facilitate new hire orientations and office tours, and ensure onboarding steps are completed accurately and timely.
  • Manage audits of new hire information and system access to ensure proper setup.
  • Support offboarding processes including exit surveys and interviews.
  • Coordinate and support internal events and activities that boost employee engagement.
  • Assist with benefits administration during onboarding and open enrollment periods.
  • Support social and company culture initiatives.
  • Manage administrative tasks such as organizing HR communication materials, scheduling meetings, taking notes, and maintaining HR files.
  • Track and follow up on tasks, projects, and employee requests to ensure completion.
  • Collaborate with IT for employee system access and changes.
  • Provide front desk support and assist Facilities team projects when needed.
  • Help manage the company internship program and support training session logistics and preparation.
  • Serve as the onsite HR representative when team members are out of office or working onsite.
  • Support implementation of short- and long-term HR projects and special tasks as assigned, including occasional economy travel.

Required Qualifications and Skills

  • Minimum 2 years experience in HR or a related support role.
  • Bachelor’s degree in Human Resources, Business Administration, Communications, or a similar field preferred.
  • Experience supporting recruiting, onboarding, offboarding, and employee engagement processes, ideally in high-volume or fast-paced environments.
  • Familiarity with HRIS systems and other office software; experience with Workday, Timeclock Plus, and ADP Vantage is advantageous.
  • Ability to manage confidential information with professionalism and discretion.
  • Strong multitasking skills with the ability to adapt to shifting priorities and meet deadlines.
  • Excellent communication abilities, both written and verbal.
  • Attention to detail and consistent execution of administrative procedures.
  • Customer-focused attitude combined with teamwork and problem-solving skills.
  • Proficiency in Microsoft Office, Google Workspace, and willingness to learn new tools.
  • Highly motivated, possessing an optimistic "Everything is possible" mindset.

Work Environment and Physical Requirements

  • Must be comfortable with loud, busy environments.
  • Capable of lifting up to 50 pounds (e.g., chairs, tables).
  • May be exposed to varying temperature conditions.
  • Willingness to travel and work during holidays, evenings, and weekends as needed to meet deadlines.
