About the Role
Stefanini Group is seeking a motivated Human Resource Coordinator to join their Talent Acquisition Team in New York, NY. Reporting to the Director of Talent Acquisition, the successful candidate will work in a hybrid setting, spending three days in the NYC office and two days working from home. This position requires a passion for people, dedication to quality, and strong collaboration skills to facilitate a smooth recruitment process.
Key Responsibilities
- Manage scheduling of interviews for candidates, recruiters, and team members across various business units, ensuring a positive experience for all parties involved.
- Track employee referrals and oversee related payment processing.
- Draft offer letters and contracts; initiate background verifications and escalate any inconsistencies to the Talent Acquisition Director.
- Monitor and ensure 100% completion of new hire onboarding activities.
- Work closely with Recruiters and Hiring Managers throughout the recruitment cycle.
- Generate ad-hoc recruiting reports to support Recruiters.
- Maintain data accuracy across HR systems by frequent coordination with Recruiters and the HR Strategy & Operations team.
- Utilize Workday fully and seek ways to optimize recruiting processes.
- Keep the Talent Acquisition document repository updated as procedures evolve.
- Onboard vendors and handle Talent Acquisition-related invoices.
- Administer the Talent Acquisition ticketing system and ensure service level agreements are met.
- Supervise recruiting coordination by external partners, ensuring consistency and quality.
- Conduct audits of processes and outputs to identify areas for improvement and mitigate risks.
Required Skills and Qualifications
- Bachelor's degree in Business Administration, Management, Social Work, or a relevant discipline.
- Preferred coursework in project management, client relations, and organizational development.
- Excellent verbal and written communication skills to engage effectively with clients, colleagues, and executives.
- Strong analytical capabilities to promptly assess challenges and implement solutions.
- Highly organized, capable of managing multiple clients, tasks, and resources.
- Proficient in Microsoft Office applications (Word, Excel, Outlook) and familiar with CRM or customer support platforms.
- Comfortable with data management and report generation related to client interactions.
- One to three years of experience in recruitment or administrative support roles.
- Hands-on experience with Workday and automated recruiting tools.
- Proven interpersonal skills to communicate tactfully and professionally across organizational levels.
- Familiarity with tools such as Canva, Sterling, Gmail, Google Docs, Google Slides, Forms, and Sheets.
- Experienced in multitasking and managing complex coordination efforts.
- Experience utilizing Workday's recruiting functions.
- Detail-oriented with strong organizational skills.
- Knowledge of ServiceNow is advantageous.
