Job overview
This junior HR and recruitment administration role sits within the Human Resources / Talent Acquisition function in Abu Dhabi, UAE. The position reports to the Talent Acquisition Lead or HR Manager and focuses on keeping hiring activity organized, efficient, and candidate-friendly.
The main purpose of the role is to support recruitment and general HR operations by coordinating interviews, screening applicants, maintaining records, and helping ensure a smooth hiring journey from application through onboarding.
Recruitment coordination and administration
- Assist with hiring activity across entry-level and mid-level vacancies from start to finish.
- Publish vacancies on internal platforms, job boards, and social media channels.
- Monitor incoming applications and keep the candidate database current.
- Prepare recruitment materials such as job descriptions, interview packs, and offer letters.
Candidate screening
- Review CVs against the role criteria and create shortlists of suitable candidates.
- Carry out initial phone screens to check availability, suitability, and expectations.
- Work with hiring managers to align on candidate profiles and share feedback.
- Record screening outcomes and assessment notes accurately.
Interview and diary management
- Coordinate complicated interview schedules across several stakeholders and different time zones.
- Balance availability for hiring managers, interview panels, and candidates.
- Send invitations, confirmations, and reminders for interviews.
- Organize meeting spaces, online interview links, and related logistics.
- Keep communication flowing clearly through every stage of the interview process.
Candidate and stakeholder communication
- Serve as the first point of contact for candidates throughout the recruitment process.
- Share timely updates on application progress and interview results.
- Maintain courteous, professional communication with internal teams and external applicants.
HR administration support
- Update employee and candidate details in HR systems, including HRIS and ATS platforms.
- Make sure records and documents are complete, accurate, and aligned with company policy.
- Support onboarding tasks such as collecting documents and arranging induction sessions.
- Assist with broader HR administrative work as needed.
Reporting and data management
- Maintain recruitment trackers and dashboards.
- Prepare reports covering recruitment activity, time-to-hire, and pipeline status.
- Protect data accuracy and confidentiality at all times.
Qualifications and experience
A bachelor’s degree or diploma in Human Resources, Business Administration, or a related area is required. Professional HR or recruitment certifications are beneficial but not mandatory.
Applicants should have 0–2 years of experience in HR, recruitment, or administrative work. Internship exposure or hands-on experience in recruitment or HR operations is an advantage. Prior work in a corporate or fast-moving environment is preferred.
Technical and core skills
Strong Microsoft Office skills are needed, especially Word, Excel, and Outlook. Familiarity with applicant tracking systems or HR software is preferred, along with good calendar management ability.
The role also calls for excellent organization, attention to detail, clear verbal and written communication, the ability to juggle multiple priorities, and a service-oriented approach that supports a strong candidate experience.
