Role overview

The HR & Recruitment Administrator (Junior) supports talent acquisition and HR operations by coordinating hiring activity, arranging interviews, screening applicants, and keeping records accurate and up to date. The position is central to creating a smooth recruitment journey and ensuring candidates receive a professional experience from first contact through to onboarding support.

Recruitment coordination

  • Assist with the full recruitment cycle for junior and mid-level positions.
  • Publish vacancies on internal channels, job boards, and social platforms.
  • Monitor applications and keep the candidate pool regularly updated.
  • Draft recruitment materials such as job descriptions, interview packs, and offer letters.

Candidate screening

  • Review CVs against role criteria and create shortlists of suitable applicants.
  • Carry out phone screenings to check availability, interest, and overall fit.
  • Work with hiring managers to confirm ideal candidate profiles and collect feedback.
  • Record screening outcomes and candidate notes accurately.

Interview and diary management

  • Coordinate complex interview calendars across multiple stakeholders and time zones.
  • Align the schedules of candidates, interviewers, and hiring managers.
  • Issue invitations, confirmations, and reminder messages for interviews.
  • Organize meeting rooms, virtual meeting links, and any related logistics.
  • Keep communication smooth throughout the entire interview process.

Communication and stakeholder support

  • Serve as the main contact point for candidates during recruitment.
  • Share timely updates on application progress and interview outcomes.
  • Maintain clear, professional communication with both internal teams and external applicants.

HR administration

  • Update employee and candidate information in HR systems such as HRIS and ATS.
  • Ensure all paperwork is complete, correct, and aligned with company policy.
  • Support onboarding tasks including document collection and induction scheduling.
  • Help with general HR administrative duties as needed.

Reporting and data management

  • Maintain recruitment trackers and dashboards.
  • Prepare reports on hiring activity, time-to-hire, and pipeline status.
  • Protect data accuracy and confidentiality at all times.

Qualifications and experience

A bachelor’s degree or diploma in Human Resources, Business Administration, or a related discipline is required. HR or recruitment certifications are considered an added advantage. The ideal candidate will have 0 to 2 years of experience in HR, recruitment, or administrative work. Exposure through an internship or prior experience in recruitment or HR operations is helpful. Experience in a corporate or fast-paced environment is preferred.

Skills and tools

Strong capability with Microsoft Office tools, especially Word, Excel, and Outlook, is important. Familiarity with ATS or HR systems is preferred, along with solid calendar management skills using Outlook or similar platforms.

Competencies

The role calls for excellent organization, time management, attention to detail, and strong written and verbal communication. The candidate should be comfortable juggling multiple priorities, remain customer-focused, and bring a positive, collaborative, and adaptable attitude.
