Role Overview
The HR Operation Officer will support and coordinate a broad range of employee health, safety, and environmental-related HR activities, while also handling core HR operations, documentation, attendance, insurance, payroll support, compliance, and employee engagement tasks.
HR Administration and Employee Records
- Draft and release employee documents such as contracts, salary confirmations, and service letters.
- Keep both physical and digital employee records accurate and current.
- Check that all employee paperwork is complete, valid, and aligned with compliance requirements.
- Take care of day-to-day HR administration and related documentation.
- Support the onboarding of new hires and the exit process for employees leaving the company.
Attendance and Time Management
- Register new employees in the Bio-time system.
- Prepare and verify weekly timesheets according to the established process.
- Work with different departments to maintain correct attendance data.
- Review monthly overtime entries in the system and flag any inconsistencies.
Insurance Administration
- Handle employee additions, removals, and updates for medical and life insurance.
- Process insurance claims and coordinate follow-up with insurance providers.
- Serve as the first contact for employees with insurance-related questions.
Government Portals and Compliance Systems
- Qiwa: maintain accurate employee contract information and update training records.
- GOSI: manage employee records and support monthly GOSI invoicing.
- Mudad: manage monthly wage protection system uploads.
Payroll Support
- Provide backup assistance during payroll processing.
- Collect and validate payroll inputs such as attendance, overtime, and deductions.
- Help ensure all payroll data is accurate before final processing.
Audit and Compliance
- Support internal and external audits by preparing the required HR documents.
- Help ensure HR practices follow labor regulations and company policies.
Employee Engagement
- Coordinate employee engagement activities and related logistics.
- Support internal communication efforts and HR initiatives.
- Assist with employee surveys and feedback collection.
Education
A college diploma in Business Administration, Human Resources, Accounting, or a related Business Studies/Administration field is required.
Experience
Candidates should have 2 to 3 years of experience in HR, payroll, accounting, SAP, or HR systems. Prior exposure to government portals, HR administration, and payroll support is also required.
Skills and Language Requirements
The role calls for strong knowledge of HR operations, solid organization and documentation abilities, clear communication, problem-solving, numerical accuracy, and strong attention to detail when working with payroll, timesheets, and reports. Proficiency in MS applications and Excel is needed, along with the ability to manage multiple priorities and meet deadlines. Good English skills are required, and Arabic at native level is expected.
