Job overview
We’re looking for an organized, detail-focused, and proactive Healthcare Scheduler / Staffing Coordinator to support a growing healthcare staffing operation. The role centers on arranging nurse coverage for client facilities, keeping every shift filled efficiently, and delivering a high standard of service to both healthcare professionals and client organizations.
This position is a strong fit for someone with a background in healthcare staffing, workforce scheduling, recruiting, or a closely related area who performs well in a busy environment where clear communication, sound judgment, and strong organization matter.
Schedule
Monday to Friday, 9:00 AM to 5:00 PM EST.
Responsibilities
- Arrange and assign nurses to client shifts according to availability, credentials, qualifications, and facility needs.
- Keep schedules accurate and current so staffing coverage remains sufficient at all times.
- Stay in touch with nurses about shift assignments, availability changes, updates, and staffing requirements.
- Act quickly when there are call-offs, short-staffing situations, or urgent schedule changes.
- Develop and maintain strong working relationships with nurses, healthcare professionals, and client facilities through professional communication.
- Work alongside recruiting and staffing teams to support a reliable flow of qualified nursing talent.
- Track and update staffing information in the company’s scheduling and workforce systems.
- Confirm that assignments align with credentialing rules and client expectations.
- Deliver responsive customer support to both healthcare professionals and clients.
- Prepare scheduling summaries and staffing updates as needed.
- Help refine scheduling workflows and improve workforce management efficiency.
Requirements
- Prior experience in scheduling, staffing coordination, workforce management, recruiting, or a similar function.
- Experience in a healthcare staffing agency, healthcare setting, or healthcare recruitment environment is strongly preferred.
- A solid grasp of scheduling and staffing workflows.
- Ability to juggle multiple tasks and deadlines in a fast-moving setting.
- Strong attention to detail and excellent organizational ability.
- Good problem-solving skills and sound decision-making.
- Comfort working independently with limited supervision.
- Excellent written and spoken English.
- Strong customer service and relationship-building abilities.
- High-level time management, accuracy, and data-entry skills.
- Ability to prioritize, multitask, and adapt when requirements change.
- Professional, positive communication style when dealing with clients and healthcare staff.
- Proficiency with Google Workspace, including Docs, Sheets, Gmail, Calendar, and Drive.
- Experience with scheduling tools, staffing platforms, workforce systems, or applicant tracking systems is preferred.
- Willingness and ability to learn company-specific software and internal tools.
- Strong computer navigation skills.
- Experience scheduling nurses, CNAs, caregivers, or other healthcare workers is preferred.
- Familiarity with healthcare credentialing and compliance requirements is preferred.
- Healthcare recruiting or talent acquisition experience is preferred.
