Role Summary

The Head of Membership will lead membership activity for Asaya, building strong guest and member experiences while driving membership growth, retention, and revenue. This role combines front-of-house presence, sales leadership, administration, and strategic planning, while coordinating closely with multiple club departments and community partners.

Key Responsibilities

Guest and member engagement

  • Welcome guests and members to Asaya in a polished, professional manner and help set the tone for the club experience.
  • Proactively promote additional services and facilities where relevant.
  • Advise clients on the Asaya experiences that best match their needs and maintain strong knowledge of all services offered.
  • Understand product offerings well enough to support Asaya professionals and assist with retail-related guidance for clients.
  • Act as a connector between membership activities and club operations.
  • Conduct membership tours for prospective clients and move them through the sales journey toward conversion.
  • Coach team members on handling membership-related queries, greeting prospective members, answering calls, and assisting with member questions.

Administrative oversight

  • Maintain accurate membership records, filing systems, and accounting-related procedures, and coordinate new member introductions to Asaya.
  • Review end-of-day reports and ensure member feedback is captured accurately so improvement areas can be identified.
  • Oversee the approval workflow for Asaya membership applications, including weekly review and rating of submissions.
  • Manage a reliable contact database with call logs, activity tracking, and updated records.
  • Keep all member files current and properly maintained.
  • Prepare monthly membership reports for the General Manager, Board/Ex-Committees, and support teams.
  • Ensure key membership tools and communications are integrated into sales efforts, including the application pack, welcome pack, handbook, website, e-newsletter, and member app.

Strategy and financial management

  • Create and lead a membership development strategy aimed at increasing total member count and dues revenue.
  • Deliver annual budgeted sales targets while forecasting demand and planning manpower, productivity, and expenses accordingly.
  • Communicate membership objectives, retention goals, satisfaction priorities, and activity updates clearly to management and associates.
  • Put in place methods that support strong application flow and a healthy waiting list.
  • Support advertising and promotional initiatives that help generate membership sales.
  • Accept that responsibilities may evolve based on operational and business needs.

Member relations and community outreach

  • Build relationships with community stakeholders such as chambers of commerce, tourism groups, exchange clubs, business leaders, corporate executives, and media contacts.
  • Take an active role in planning monthly Asaya member events.
  • Support event coordination, including invitations, mailings, and publicity materials.
  • Strengthen relationships with current members to drive participation, satisfaction, recruitment, and retention.
  • Represent Asaya at events, including hosting mixers, engaging members, and responding to correspondence when needed.
  • Be available for early mornings, late evenings, and weekends when events or business demands require it.
