Role Overview
The Vice President/Head of Finance role represents the highest authority over accounting and finance functions. Responsibilities encompass ownership of the month-end close and general ledger, managing external audit and tax relationships, establishing scalable controls, and acting as a proactive financial partner to company leadership. The incumbent will ensure books are audit-ready and diligence-prepared, optimize and accelerate close processes, and implement forecasting and cost-to-serve analytics to reveal true profitability.
This is a comprehensive role combining technical accounting, FP&A, controls development, and innovative AI-driven automation. The Head of Finance is an accountable, hands-on builder who personally manages financial operations, rather than a detached CFO. Collaboration with the CEO is close and fast-paced, requiring automation over headcount expansion and proactive financial insights.
Key Responsibilities
- Manage the complete month-end close process including general ledger maintenance, journal entries, reconciliations, accruals, and detailed variance analysis; continue streamlining an already compressed two-day close schedule.
- Maintain a clean and reconciled general ledger with real-time processes to detect inconsistencies between actual transactions and system reports.
- Develop and present detailed monthly financial reports, including P&L breakdown by business units with granular line-item visibility.
- Collaborate with FP&A and General Managers to forecast monthly P&L and implement weekly margin and spending tracking metrics.
- Supervise inventory and cost accounting across distribution networks, manage valuation, reserves, shrinkage, obsolescence, and produce detailed cost-of-goods-sold and cost-to-serve reports segmented by product line, channel, facility, and order.
- Establish and maintain internal controls including approval workflows, spend limits, segregation of duties, and exception reporting, safeguarding company spend and card usage.
- Oversee the external audit process from scoping to final sign-off ensuring books remain audit-clean and ready for diligence.
- Coordinate tax compliance across multiple entities in the U.S. and Canada, liaise with external tax advisors, and prepare standalone entity financials.
- Lead transaction readiness activities including data room management, quality of earnings preparation, and financial modeling to support deal processes.
- Manage cash and treasury functions, ensuring transparency, controls, and dependable cash flow forecasts.
- Leverage AI and automation to enhance financial workflows such as reconciliation, data aggregation, anomaly detection, and month-end procedures, favoring tools like Sage Intacct.
- Build and nurture a lean, AI-forward finance team committed to rigorous controls and automation.
Operating Principles
- Uphold strict control frameworks with mandatory approvals, spend limits, and duty segregation; no expenditures without controls.
- Apply AI pragmatically to automate finance functions while recognizing its capabilities and limitations.
- Maintain a hands-on leadership approach with direct ownership of closing and control improvements.
- Ensure books remain perpetually audit-clean and prepared for transaction diligence.
- Maintain a single source of truth in the ERP/GL system (Sage Intacct or equivalent), with all financial data recorded therein.
Qualifications
- Bachelor's degree in Accounting or Finance; CPA certification strongly preferred.
- At least 8 years of progressively responsible experience in accounting and finance leadership, including personal accountability for month-end close and external audit management.
- Hands-on expertise in inventory and cost accounting within product-based, distribution, or e-commerce contexts.
- Proven track record in developing controls and financial processes from the ground up, rather than merely maintaining inherited practices.
- Demonstrable experience utilizing AI and automation effectively in finance tasks, balanced with sound judgment on their appropriate use.
- Experience managing multi-entity accounting structures, including preparation of standalone financial reports and intercompany accounting.
- Advanced proficiency with Excel and financial modeling; competence in P&L forecasting and detailed business unit reporting.
- A hands-on finance builder who prefers to fix and automate processes instead of increasing headcount unnecessarily.
- Excellent communication skills, able to interpret financial data for leadership and defend numbers with supporting evidence.
Preferred Experience
- Involvement in transaction processes including data room management, quality of earnings, and financial diligence.
- Familiarity with Sage Intacct ERP system.
- Experience in developing AI-driven workflows for data reconciliation and anomaly detection in finance.
- Partnership experience with FP&A teams and general managers on cost-to-serve and unit economics modeling.
- Background in ecommerce, apparel, or product distribution industries.
- Proven ability to build lean finance teams in fast-growing, bootstrapped, profitable companies.
Compensation and Benefits
The anticipated salary range for this position is $190,000 to $285,000 per year, with actual compensation determined by qualifications and fit. Total compensation may comprise base salary, performance bonuses, equity participation, and benefits tailored individually.
