About the Role
Panoramic Health is seeking a dedicated Front Office Receptionist to join our team in Tempe, AZ. This key position involves handling administrative and clerical duties essential to maintaining smooth office operations. Tasks include managing telephone communications, organizing documents, basic bookkeeping, and operating office equipment and software.
Key Duties and Responsibilities
- Perform administrative tasks and report to management timely.
- Answer and screen incoming calls, forwarding as appropriate.
- Schedule and confirm appointments, meetings, and events professionally.
- Greet and assist visitors warmly in a professional manner.
- Manage basic inquiries and handle incoming mail sorting.
- Copy, scan, and file important documents efficiently.
- Monitor office inventory and place orders for supplies as needed.
- Maintain a neat and organized reception area adhering to professional etiquette.
- Undertake additional duties as assigned or requested to support office functions.
Candidate Qualifications
- Possess a high school diploma or GED equivalent.
- Have a minimum of one year experience in a comparable front office role.
- Hold formal training or qualification in office administration, secretarial tasks, or related fields.
- Demonstrate an exceptional ability to foster a welcoming office atmosphere.
- Experienced in managing phone systems including call answering, screening, and appointment scheduling.
- Capable of maintaining professional business etiquette and appearance at all times.
- Proficient with word processing, spreadsheet software, and email systems, specifically Microsoft Word, Excel, and Outlook.
- Familiar with office equipment such as printers, scanners, copiers, and fax machines.
- Strong interpersonal and communication skills to engage effectively with colleagues and visitors.
