Position Overview
The Financial and Office Administrator role centers on managing the firm's financial functions including accounting, reporting, budgeting, insurance, internal controls, payroll, tax filing, and trust account management. Additionally, this position supervises human resources and facilities management, reporting directly to the Management Committee.
Key Responsibilities
- Direct accounting functions, financial controls, banking activities, billing procedures, accounts receivable and payable, trust account oversight, account reconciliations, and cash management.
- Compile financial statements, oversee General Ledger entries, perform reconciliations, manage cash disbursement reports, and generate monthly reports for accountants and Management Committee.
- Assist in budgeting, analyze monthly financial performance, report discrepancies, and provide year-end data to support tax filings and accounting.
- Oversee bi-weekly payroll processing, manage withholding adjustments, handle fund transfers, and supervise 401(k) contribution verification and submissions.
- Administer pension plans including year-end census reporting, plan funding, 401(k) plan contributions, and coordination of Required Minimum Distributions.
- Create internal and custom financial reports, collaborate with practice management providers when necessary, and support reviewing cyber and crime insurance policies.
- Maintain and update accounting policies and procedures, conduct firm-wide training, and promptly resolve financial concerns with attorneys and staff.
- Manage Human Resources activities for support and administrative staff, encompassing recruitment, employee relations, disciplinary actions, and terminations.
- Participate in space management and collaborate with IT management to ensure secure systems and address technology needs of legal and support staff.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or related discipline; CPA designation preferred but not a requirement.
- Thorough understanding of financial reporting standards and strong proficiency in Microsoft 365 suite, particularly Excel; familiarity with NetDocuments software is advantageous.
- Exceptional skills in management, organization, time management, communication, both written and verbal.
- Strong analytical capabilities with a detail-oriented and strategic mindset geared towards future planning.
- Previous experience in financial leadership within a law firm, professional services firm, or similar setting is favored.
