Role Overview

The Executive Secretary for Marketing and Communication will deliver comprehensive high-level administrative and organizational assistance to Executive Management. This pivotal role facilitates efficient schedule coordination, communication flow, document handling, and meeting organization, acting as the primary interface between the executive office and both internal teams and external partners. The position supports strategic business goals by ensuring seamless day-to-day operations.

Key Responsibilities

  • Manage and coordinate executive meetings and calendars effectively.
  • Prepare meeting agendas and oversee follow-up actions to ensure completion.
  • Compose, review, and handle official communications and reports with precision.
  • Securely maintain confidential documents and sensitive information.
  • Serve as a bridge for communication between executive leadership and other departments.
  • Coordinate interactions with external stakeholders and partners.
  • Arrange logistics and organize materials for board meetings and executive sessions.
  • Maintain systematic filing and comprehensive office record keeping.
  • Deliver broad administrative support to the executive office as needed.

Required Qualifications and Experience

  • Possess a Bachelor’s degree in Business Administration, Office Management, or a related discipline.
  • Have between 5 to over 7 years of experience in executive or senior administrative support roles.
  • Exhibit thorough knowledge of office management, executive correspondence, and scheduling best practices.
  • Demonstrated experience in sensitive information handling and liaising with senior stakeholders.
  • Proficiency in Microsoft Office applications and various office management tools.
