Role overview
This position supports a leadership group that includes two Vice Presidents by handling a broad mix of administrative and coordination tasks. The role calls for strong familiarity with internal procedures, tools, and office practices, along with the ability to manage more complex operational and administrative work.
Key responsibilities
- Keep executive calendars organized, arrange meetings and conferences, and coordinate business travel.
- Serve as the executive’s email backup during absences by screening messages, routing issues, prioritizing items for follow-up, and answering routine questions.
- Prepare daily agenda materials and support meeting bookings.
- Create and maintain communication materials, meeting documents, forms, spreadsheets, presentations, and tracking databases.
- Handle departmental administration and records, including expense claims, invoices, monthly travel expense reconciliations, supplies, telecom, equipment, premises needs, vacation tracking, and monthly away-list distribution.
- Support special requests and ad hoc initiatives from the VP and SVP, such as recognition programs, career conversations for enterprise programs, the team Connect site, and other new initiatives.
Requirements
- At least 4 years of experience supporting executives at the Vice President level or higher.
- Strong proficiency with Microsoft Word, PowerPoint, Excel, and Outlook.
- Excellent spoken and written communication ability.
- Strong interpersonal approach with diplomacy, tact, and a positive, can-do mindset.
- Very good planning, organization, and time-management skills.
- Hands-on experience using Concur.
- Exposure to Workday is an advantage.

Work details
This is a full-time, onsite position based in Toronto, Ontario, Canada. The weekly working time is 37.5 hours, and the role is a regular salaried position within the Group Risk Management platform.
