The Executive Assistant position offers critical administrative and strategic support directly to senior leaders, specifically the Executive Vice President, Chief Marketing Officer, ensuring smooth daily operations.
Key Responsibilities
- Deliver high-level administrative assistance including calendar and time management to the EVP, Chief Marketing Officer.
- Exercise discretion, confidentiality, sound judgment, and deep organizational insight to prioritize executive agendas.
- Coordinate complex scheduling, managing priorities and conflicts to keep executives aligned with daily and long-term objectives.
- Plan and organize meetings, events, logistics, materials preparation, minute taking, offsite and community engagements, and external functions.
- Manage incoming and outgoing communications such as emails, phone calls, reports, and internal correspondences.
- Compile and verify materials for executive presentations, reports, speeches, and meetings.
- Arrange executive travel including flights, accommodations, transport, and itineraries.
- Handle expense processing and monitor billing and expenditures diligently.
- Serve as a vital liaison and gatekeeper between internal and external parties including vendors, colleagues, and customers.
- Support process improvements and ensure adherence to global policies and business control standards.
- Assist with risk management, compliance, operational protocols, AML/ATF, sanctions, conduct, and business continuity efforts, occasionally taking on Business Continuity Plan responsibilities.
- Foster a customer-centric, inclusive, and high-performance culture by building strong relationships and embodying the organization's values and Code of Conduct.
Required Qualifications and Skills
- At least two years of experience in an administrative assistant role.
- Expertise in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
- Experience navigating large, complex organizations with broad stakeholder networks.
- Excellent organizational abilities, independence, and a proactive, solution-focused mindset.
- High discretion and confidentiality in handling sensitive matters.
- Strong adaptability to dynamic and complex environments.
- Effective time management, verbal and written communication, and presentation capabilities.
