Role overview
We are hiring two high-performing Executive Assistants to partner with members of the Executive Leadership Team. These positions go well beyond standard administrative support; they are designed for someone who can act as a dependable business partner, manage competing priorities, support governance work, and keep executive operations moving efficiently.
In this Auckland CBD-based role at the National Support Office, you will work closely with senior leaders, hospital teams, Board members, and outside stakeholders. The work includes managing complex calendars, coordinating executive correspondence, arranging travel, meetings and events, and preparing polished presentations, reports, Board papers, and other executive documentation.
You will also contribute to strategic initiatives and key organisational projects, helping maintain progress, structure, and accountability across multiple workstreams. This role calls for sharp judgment, strong initiative, and meticulous attention to detail so leaders can stay focused on delivering excellent healthcare outcomes across New Zealand.
Key responsibilities
You will be responsible for providing seamless executive support, coordinating governance activity, and ensuring the timely completion of critical deliverables. The position requires a proactive approach to anticipating needs, solving problems early, and creating order in a fast-paced senior leadership environment.
Skills and experience
- Substantial background supporting senior executives, executive teams, or board-level leaders in a complex organisation
- Hands-on experience with governance work, board meetings, committee coordination, and minute preparation
- Strong ability to organise workloads, set priorities, and handle several competing deadlines at once
- Excellent business writing skills, including the preparation of reports, presentations, and formal correspondence
- Advanced capability with Microsoft Office 365 tools such as Outlook, Word, PowerPoint, Excel, Teams, and SharePoint
- Sound financial administration knowledge, including invoices, expenses, reconciliations, and budget monitoring
- Confident stakeholder engagement skills for working with senior leaders, partners, and external contacts
- Strong discretion, professionalism, and integrity when dealing with confidential information
- High accuracy, strong follow-through, and close attention to detail
- A forward-thinking, practical mindset with the ability to stay ahead of issues
- Experience in healthcare, professional services, or another complex setting is an advantage
