Role Overview

We seek a dynamic and experienced Executive Assistant to support our AI Software Group leadership team. This fast-paced and ever-changing environment demands a professional who works collaboratively with other executive assistants and interacts seamlessly with various levels of management, customers, and staff, managing daily priorities efficiently.

Key Responsibilities

  • Manage executive calendars, prioritize meetings, and coordinate key offsite events and travel arrangements.
  • Organize domestic and international travel logistics and prepare timely expense reports.
  • Serve as liaison with management, customers, and executive guests, directing inquiries and resolving issues.
  • Review correspondence and determine necessary executive actions.
  • Exercise discretion and adaptability while maintaining confidentiality.
  • Maintain proprietary files and adhere to record retention policies.
  • Collect and analyze information from diverse sources to draft reports, agendas, and correspondence.
  • Manage departmental supplies and coordinate repairs or facility needs.
  • Assist with departmental financial operations including budgeting, contracts, purchase orders, payments, and vendor management.

Preferred Qualifications

  • Proven experience supporting executive-level leaders and senior administrative roles.
  • Exceptional organizational and communication skills with capability to work both independently and collaboratively.
  • Proficiency with advanced office software such as PowerPoint, Excel, Word, SharePoint, and SAP.
  • Ability to effectively interact with various organizational levels to facilitate communication and action.
  • Strong multitasking skills and sound judgment with flexibility and responsiveness.
  • Experience leveraging AI-assisted tools to analyze data, recognize trends, and inform business decisions.
  • Willingness and ability to learn and incorporate emerging AI technologies into daily functions and operations.

Educational Background

Bachelor’s Degree or equivalent experience is required.
